Under the supervision of the Executive Director and Finance Director, these positions will perform administrative duties, as well as welcome participants and visitors by greeting them, in person or on the telephone. SPECIFIC DUTIES WILL BE DELEGATED AMONG THE STAFF WITHIN THIS DEPARTMENT.
GENERAL DUTIES MAY INCLUDE:
1. Oversee Reservation Desk and “MySeniorCenter” kiosk following established guidelines. Assist clients with the check-in process. Ensure proper procedures are followed.
2. Receive visitors at front desk by greeting, welcoming, and directing them appropriately.
3. Answer, screen and forward incoming phone calls. Communicate basic and accurate information in person and via phone/email.
4. Ensure front lobby, sunroom and waiting area are tidy and presentable.
5. Provide tours to new clients. Provide them a welcome packet, answer questions and obtain appropriate paperwork.
6. Coordinate OAA paperwork requirements with clients.
7. Prepare daily meal list and data entry as assigned using WellSky.
8. Maintain filing system for office records.
9. Maintain equipment loan program.
10. Assist nursing staff with clients as needed.
11. Collect and document payments for activities using “Square” for credit card payments.
12. Prepare The Senior Sentinel for distribution (backup support).
13. Prepare outgoing mail.
14. Attend workshops, training sessions, and seminars as assigned by the Executive Director.
15. All other duties as assigned by the Executive Director or Finance Director.
MINIMUM REQUIREMENTS:
--Ability to comprehend the provisions of Title III programs.
--Ability to relate to the elderly.
--Have valid driver’s license and means of personal transportation.
--Proficiency in MS Office Suite. Ability to learn new software quickly.
--Hands on experience with office equipment.
--Solid written and verbal communications skills.
--Professional attitude and appearance.
--Be a multi-tasker with solid time management skills and the ability to prioritize tasks.
