JOB DESCRIPTION - Receptionist
REPORTS TO: School Director
CLASSIFICATION: Full-Time/Exempt
Position Overview
We are seeking a highly organized, professional, and friendly individual to join our team as a Receptionist. As the first point of contact for students, parents, and visitors, the Receptionist plays a crucial role in creating a welcoming, supportive, and efficient environment. This position requires excellent communication skills, strong attention to detail, and the ability to multitask effectively. The ideal candidate will be enthusiastic about education, committed to the school's mission, and capable of handling various administrative responsibilities.
Responsibilities
Front Desk Management
  • Provide a warm and professional welcome to all visitors, including parents, students, staff, and community members.
  • Answer inquiries, provide accurate information, and direct visitors to the appropriate person or department.
  • Maintain a positive, professional, and helpful attitude while addressing visitors' needs.
Communication & Correspondence
  • Answer incoming calls promptly and professionally, directing calls to the appropriate staff members.
  • Respond to general inquiries via email and forward messages as necessary.
  • Take and deliver accurate messages in a timely manner.
Student Records & Attendance
  • Maintain accurate records of student attendance, both daily and long-term.
  • Track and report student absences to the appropriate school personnel.
  • Assist with the enrollment process by collecting and organizing necessary student documents.
Administrative Support
  • Provide administrative support to various departments, including filing, photocopying, and data entry.
  • Assist with the preparation and distribution of school-related materials, such as newsletters, forms, and announcements.
  • Help maintain an organized and tidy reception area.
Scheduling & Event Coordination
  • Schedule appointments and meetings for staff, parents, and administrators.
  • Coordinate room bookings and facility usage requests.
  • Assist with organizing school events, including open houses, parent-teacher conferences, and staff meetings.
Security & Compliance
  • Monitor and maintain visitor sign-in and sign-out procedures.
  • Ensure compliance with security protocols and policies.
  • Collaborate with the school's security team to create a safe and secure environment for students, staff, and visitors.
Qualifications
  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as a receptionist or in a customer service-oriented role.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Proficient computer skills, including Microsoft Office Suite and email management.
  • Ability to handle confidential information with discretion.
  • Friendly and approachable demeanor, with excellent interpersonal skills.
  • Ability to work independently and collaboratively within a team environment.

Compensation
  • Compensation is commensurate with experience and placement on the appropriate pay rate chart.
