Meeting Concierge - Royal Sonesta New Orleans

Job Description Summary
To act as the liaison between the Conference Services Managers and client during the event phase of the meeting. To be a highly visible proactive representative of the hotel, who is aimed towards addressing customer needs, anticipation and resolution of potential problems.. To ensure that all pre-planned details of group resumes and banquet event orders are carried out from an operational standpoint. Assists meeting planners with all on site requests and needs. To support the Event Operations team in servicing the convention and catering/social attendees.
Job Description
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- To familiarize self with each group, knowing the contact, meeting agenda etc.
- Able to assist with last minute requests and changes
- To know all facilities of the hotel and their hours of operation
- Inform management that you are on duty, events, operations, banquets, front desk
- Create daily packet with meetings to include Group Resume, Schedule of Events, Banquet Event Orders
- Handles all guest and employee complaints and inquiries in a courteous and efficient manner.
- Identify possibility for catering, audio visual upsell
- Walk all meeting rooms for the groups prior to group arriving
- Ensure all requested food and beverage, audio visual and special requests have been correctly placed in the room
- Introduce self to the planner and review your role
- Confirm timing and final head counts for food and beverage
- Coordinate group's box receiving, shipping and delivery and post charges for group boxes and copies
- Do a hand off introduction of second shift supervisor / captain with the meeting planner
- Each associate is expected to carry out, within their capability, all reasonable requests by management
- Read and understand Banquet Event Orders and Group Resumes
- Review Delphi Daily and Weekly reports
- Communicate all group information/changes to existing information to appropriate hotel colleagues in an accurate and timely manner
- Remain available to hotel colleagues via radio while on property
- Report any changes made by client to CSM and pertinent departments
- Knowledge and understanding of Delphi system's function diary to check function space and times
JOB REQUIREMENTS
- Good Leadership Qualities.
- Personable with good people skills.
- Displays proactive hospitality.
- Good organizational skills.
- Must be a self-starter and be able to work with minimum supervision.
- Total commitment to guest satisfaction.
- Computer Skills in Word, Excel, Delphi and Opera.
- Perform additional duties as assigned by Director of department
- Must be willing to work a flexible schedule in order to accomplish all major responsibilities and tasks.
- Must work in a safe, prudent and organized manner.
- Must have mathematical skills, computer software aptitude and some hotel operation knowledge.
- Must have able to relate to and communicate with key hotel departmental colleagues.
Preferred Qualifications
- Previous Hotel and/or catering experience preferred.
