Job Description

Title: Facilities Admin

Location: Columbia, MD (Onsite)

Pay: $20-23.50/hour

Hours: FT, 37.50/hour week

Type: Long-term Contract, Potential to go Permanent.

Start Date: April 29th or May 7th, 2024.

 

The Facilities Management staff seeking a candidate with knowledge/background in the facility as a Facilities Administrator to provide general and specific administrative support services to the Facilities Management staff and act as the work coordinator for the Facilities Department.

The Facilities Administrator is expected to provide administrative support to the Facilities Management and staff, including maintaining the work order system, services logs, and status, tracking work requests to completion, process and tracking invoices for payment, general clerical and office functions of the Department, contractor/visitors’ management. Responsibilities include: 

  • Oversees the facility's help desk system (input, schedule, maintain, and execute work orders). This includes putting in responses and closing out the ticket.  Accept work requests telephonically or electronically and distribute work to the appropriate work center.
  • Set up phone numbers for new employees (8x8 system). Submit this information to the HR department, Talent Dev. Dept Instructional Designer & Facilitator & Sr. Talent Development Specialist, Talent Acquisition Manager, and Facilities Manager.
  • Process and track invoices for payment – ensure items are charged to the appropriate accounting lines. Keep our invoice tracking document up to date. Open and code all departmental invoices for processing, including regional offices rent, Tax Reimbursement (tax reim), and CAM statements. 
  • Escort on-site contractors, sign in / out, distribute key cards, and accompany them to the job site when needed. Upon direction, place service calls & schedule preventive maintenance, sign, scan, and file service tickets.
  • Set up new vendors in the system and obtain COI (Certificate of Insurance) & W9 for new vendors.
  • Place orders for break rooms, janitorial supplies, etc., and restock supplies closets. 
  • Support department as needed by performing other related duties as assigned, including assisting in setting up and resetting company-planned events when facility help is required.
  • Perform general clerical duties, including but not limited to photocopying, faxing, mailing, and filing; all facilities-related paperwork must be accessible in our shared drive.

 

Requirements:

·         Must be able to pass a background check.

·         3+ Years of Relevant work experience as detailed in the responsibilities of the role.

·         Reliable form of transportation

·         Experience with computers, multi-line phone systems, fa machines, photocopiers, and mailers.

·         Experience with  Microsoft Suite, and a typing speed of at least 40 WMP.
