Job Description

We have an opening for an Assistant Project Manager to participate and assist in all of the various activities within our business., it will include constructing a project, including subcontracting, estimating, cost management, schedule management, safety, and quality management.

Job Description:

The Assistant Executive Project Manager (PE) plays a crucial role in providing support to top-level executives within an organization. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to handle a wide range of tasks efficiently and effectively. The Executive Assistant serves as a primary point of contact between executives, internal staff, clients, and external Managers, requiring strong communication and interpersonal skills.

Key Responsibilities:

Administrative Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence.

Communication: Serve as the primary point of contact for internal and external communications, screening calls, responding to inquiries, and managing help email correspondence.

Information Management: Organize and maintain executive's files, records, and documents, ensuring confidentiality and accessibility as needed. Prepare reports, presentations, and other materials as requested.

Meeting Coordination: Plan and coordinate meetings, conferences, and events, including arranging logistics, preparing agendas, taking minutes, and following up on action items.

Project Management: Assist with special projects as assigned, coordinating tasks, deadlines, and resources to ensure timely completion and quality results.

Relationship Management: Build and maintain positive relationships with managers, colleagues, clients, and others, professionally representing the company.

Prioritization: Manage multiple priorities and deadlines effectively, proactively identifying and addressing potential conflicts or challenges.

Problem Solving: Anticipate needs and proactively address issues to facilitate smooth operations and support the project and business objectives.

Confidentiality: Handle sensitive information with discretion and confidentiality, maintaining the highest standards of professionalism and ethics.

Technology Proficiency: Utilize various software and technology tools proficiently, including office productivity suites, calendar and scheduling applications, and communication platforms.
