Position Objective:

The Clinical Operations Specialist will ensure adherence to clinical standards and internal work procedures for the clinical team with VIPcare. The Clinical Operations Specialist works with clinical teams on improvement initiatives, including required training, assessments, and corrective action plans. This key team member will possess a high level of organization and ability to follow procedures as established while also identifying opportunities for improvement. The incumbent will report to the Project Manager and focus on process improvement and program management within VIPcare clinics across all states.

Responsibilities:

  • Collaborate with cross-functional teams, including operations, data, program development, and clinic leadership to ensure adherence to VIPcare standard operating procedures
  • Possess in-depth knowledge of our company's systems, KPI's and best practices for clinic workflow. Utilize this expertise to troubleshoot process issues, and provide appropriate solutions
  • Create and maintain project plans, timelines, and documentation. Track progress and milestones, ensuring all parties are aligned and informed throughout the process
  • Provide hands-on technical support to identified clinic teams.
  • Conduct regular assessments of clinic operations to verify process integrity, and compliance with company standards. Address and resolve any issues discovered during assessments
  • Conduct training sessions for clinic team members to refresh or familiarize them with our systems and best practices for clinic operations
  • Build and maintain strong working relationships with clinic leadership and supporting departments
  • Proactively identify opportunities to enhance clinic processes, documentation, and support mechanisms. Provide feedback to internal teams to drive improvements in clinic performance
  • Stay up-to-date with industry trends, project management technologies, and best practices. Share knowledge and insights with the team to foster a culture of continuous learning
  • Additional duties as assigned

Position Requirements/ Skills:
  • Bachelor's degree preferred
  • Clinical experience required (Medical Assistant or equivalent)
  • 5+ years experience in clinic management, clinic operations, or a similar role
  • Strong technical background with experience in API integrations, data mapping, and troubleshooting
  • Excellent project management skills with the ability to manage multiple projects simultaneously
  • Proficient with Google Suite (Drive, Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint) for real-time collaboration

Physical Requirements:
  • Ability to remain in a stationary position, often standing or sitting for prolonged periods of time
  • Communicating with others to exchange information
  • Repeating motions that may include the wrist, hands, and/or fingers
  • Assessing the accuracy, neatness, and thoroughness of work assigned
  • Must be able to lift at least 15lbs at times
  • Ability to travel up to 75% of the time
