Job Description

Team: Operations

Reports To: Head of Operations (Jenna Wallravin)

Compensation: $16.00 - $19.00/hour DOE

Status: Full-Time (40 hours/week Monday – Friday)

Location: Pipsticks Studio (San Luis Obispo, CA)

Start Date: ASAP

Who we're looking for:

A Customer Service & Sales Support Superstar! You're flexible, easy-going, have a strong work ethic, and the ability to proactively get stuff done. You have an eye for detail and are constantly looking for ways to improve processes.

You have experience with (and are super excited about): online customer service, order processing, spreadsheet management, and project management. You are exceptionally organized with the ability to keep track of various projects at once. You adapt to change easily and quickly and can pinpoint gaps or weak points in processes,

You must have a positive attitude and thrive in a collaborative environment, be totally reliable, extremely detail-oriented, and enjoy chatting with customers over email and in person.  

On top of all that... you're nice, easy-going, and can speak up when you don't dig the daily music we're listening to. It's a serious perk if you love stickers, crafting, or planning!

 

Minimum qualifications:

  • High School Diploma


  • Flexible to work shifts Monday - Friday between 8:30 am and 6:30 pm


  • Availability to work an average of 40 hours a week


  • Strong customer service skills


  • Online customer service experience


  • Easy writing style


  • Intermediate knowledge of Microsoft Office


  • Must have clear, direct, and professional written and oral communication skills


  • Highly dependable, self-starter, team player, positive attitude


  • Intermediate knowledge of Microsoft programs (Outlook, Excel, Word, and PowerPoint), especially excel.


  • Basic math skills


  • Successful at multi-tasking, organization, and time management.


  • Experience with Zendesk, Gorgias, or other ticketing software preferred 

The Wholesale Coordinator is responsible for handling day-to-day tasks to keep all aspects of our Wholesale Program moving smoothly! From answering questions for reps & retailers to processing orders, and being the go-to person for all things wholesale at Pipsticks.


Job tasks include, but are not limited to: 

  • Respond to retailer & rep inquiries via email, messaging systems, and phone


  • Coordinating all administrative tasks for our external rep groups and internal wholesale needs


  • Ensure wholesale orders are pushing through the data feed appropriately and manage backorders


  • Coordinating line sheets, product releases, and wholesale promotions


  • Working with our Logistics Coordinator to troubleshoot issues with orders, inventory, and data feeds  


  • Processing payments and invoicing wholesale customers according to company SOP


  • Working closely with our Logistics Coordinator and 3PL to coordinate wholesale shipments and key account SOPs


  • Coordinating key account, rep group, & distributor pitches and onboarding


  • Coordinating super-key account (Target & other box stores) SOPs, working closely with our manufacturers and partners as needed 


  • Main POC for our Wholesale Sales Manager and rep groups for all things related to the wholesale program


  • Monthly reporting and analytics on our wholesale program


  • Running bi-weekly wholesale meetings


  • Suggest ideas and improvements based on retailer/partner needs


  • Assisting with commissions and commission audits as needed


  • Assisting with lead gen, sales calls, follow-ups, and re-orders as needed
