Essential Job Functions:
- Oversee and support the AP Specialist
- Complete data entry of Accounts Payable invoices, ensuring accurate coding to jobs, departments and general ledger accounts and applicable approval of expense
- Review company credit card transactions for accuracy and enter into system
- Review and reconcile purchase orders to vendor invoices; reconcile differences
- Review employee expense reports for manager approval and proper job/general ledger account coding
- Manage and release ACH transactions weekly (company/individual) created by others
- Complete all tasks associated with accounting month-end closeouts
- Maintain vendor relationships, communication of expected payment dates and payment amount, lien waiver requests, other items as applicable
- Compile reports and file sales tax (multiple states) on monthly/quarterly/annual basis ensuring 100% accuracy to avoid any issues
- Issue 1099 tax documents at year end
- File monthly state sales tax on behalf of JR & Co., Inc.
- Assist CFO and third-party accountants on financials, audits, etc.
- Issue any urgent/emergency funding on an as-needed basis (per diem, travel, bills, etc.)
- Maintain vendor files, W-9’s, status of lien waivers, payment terms
- Prepare budgets, review account history, and prepare reports as requested
To succeed in this role, you will need:
- 5 years of experience in accounts payable
- 2+ years’ experience in a supervisory/managerial role overseeing the collections/accounts receivable process
- Experience with mid-size, multi-state corporation required
- Bachelor’s degree in business administration, accounting, finance, or related field required
- Experienced with Microsoft Suite, Spreadsheets, and accounting software (ComputerEase, RoofLink, and/or ProCore knowledge a plus)
- Familiarity with corporate/banking contacts-accounts fixes, supply order, etc.
- Strong analytical, problem-solving, and decision making abilities
- Well planned, organized, deadline-oriented and keen attention to detail
- Excellent negotiation and conflict resolution with employees and customers
- Proven track record in providing friendly, timely, and accurate customer service to internal and external customers
- Excellent oral, written, and interpersonal communication skills
- Management—situational, coaching leadership style with ability to have direct conversations
- Ability to sit for prolonged periods of time, working at a computer in an indoor office environment
