HUB Contracting Coordinator

We are currently seeking a HUB Contracting Coordinator with Transportation Project experience, (MWBE) contracts and procurement experience in the Dallas, TX area.

Responsibilities

1.        Use established client HUB processes, forms and software (B2G) for this project.

2.        All meetings attended by the HUB Contracting Coordinator require written meeting minutes.

3.        Attend partnering sessions, pre-bid meetings, OAC meetings, client outreach events and General Contractor (GC) interviews (if any).

4.        Schedule monthly meetings with the Project Manager (PM) for a project update (i.e., any issues that could affect the target dates of the project, problems with HUB firms, difficulty getting the GC to understand HUB compliance on the project, budget delays, etc.).

5.        Schedule HUB On-Board Training for both Architect Engineer (AE) and GC project teams in partnership with the project manager and HUB Office Associate Director.

6.        Schedule and provide B2G Training in partnership with HUB Office Associate Director to AE and GC contact representatives.

7.        Create an outreach plan in conjunction with the technical services provider and GC to promote the project. The plan should include the number of outreach events sponsored by the GC, the number of outreach events attended sponsored by HUB organizations, minority associations, schedule for training classes (usually 4 nights from 4:00-7:00 pm.), and HUB contractor guide training classes. Create mailing lists for these events by:

·        Searching the Centralized Master Bidders List (CMBL) for HUB firms

·        Using the list of HUB firms the GC spoke with during outreach events.

·        One-on-one firms from meetings

·        Minority Organizations and Associations memberships.

8.        Work with HUB Executive Director and his designee, technical services provider, and the GC on the agenda for the HUB Subcontractor Training and obtain speakers from the GC project team and the client. GC pays for the cost of food each night.

·        Send event notices to minority trade organizations, TAAACC, and TAMACC.

·        Send event notices to CMBL and one-on-one meeting lists from events.

·        Use Bid Connect to email event flyers to HUB firms.

9.        Provide the HUB forecast reports from the monthly Owner, Architect Contractor (OAC) Meeting to our client’s Executive Director and his designee.

10.    Schedule, in conjunction with technical consultant, one-on-one meetings with HUB firms and the GC.

11.    Obtain a copy of the list of attendees the GC spoke with during outreach events.

12.    Check payments made to the GC and architect to be sure all payments are uploaded to the B2G system.

13.    Monitor B2G weekly to be sure subcontractor payments are posted in a timely manner on all tier levels.

14.    Keep GC and subcontractor contract amounts current in the B2G system.

15.    Report any changes, specifically HUB contact changes, in project teams, to our client’s HUB Office

16.    Assist the GC with all HUB Subcontracting Plans (HSP’s) using the client’s process.

17.    Work with GC to submit the Final HSP before project closeout.

18.    At project close-out, provide the final HSP that matches B2G, and total payments made to the subcontractor as shown in B2G.

19.    File all documents and reports for this project in the B2G system.

20.    Other duties as assigned.
