Office Administrator for Construction Project in Lexington NC

Job Description:

As an Office Administrator, you will play a crucial role in supporting the smooth operation of our construction projects by providing administrative assistance to our on-site team. You will be responsible for maintaining organized and efficient office operations while ensuring seamless communication between the field and office staff.


Responsibilities:

  • Perform general office duties such as answering phones, responding to emails, and managing correspondence.
  • Maintain accurate and up-to-date project documentation, including contracts, permits, and drawings.
  • Coordinate meetings, appointments, and travel arrangements for project managers and staff.
  • Assist with payroll processing, including timesheet verification and submission.
  • Manage office supplies inventory and place orders as needed.
  • Assist in the preparation of project proposals, reports, and presentations.
  • Liaise with subcontractors, suppliers, and clients to facilitate communication and resolve issues.
  • Provide administrative support during the bidding process, including document preparation and distribution.
  • Ensure compliance with company policies and procedures, as well as health and safety regulations.

Requirements:

  • Previous experience in an administrative role, preferably in the construction industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Exceptional communication and interpersonal skills, with the ability to interact professionally with staff at all levels.
  • Knowledge of construction terminology and processes is an asset.
  • Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
  • Flexibility to adapt to changing priorities and deadlines.
  • High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
