Production Coordinator - Administrative Assistant

General Summary
This position is responsible for coordinating all material, labor, and documentation for builder installations.
Essential Job Functions
- Review tracking/scheduling tool to ensure materials have been ordered at frame.
- Perform cursory review of work order against builders’ selection for accuracy including change orders.
- Print work orders with installation diagram.
- Upload signed paperwork to tracking/scheduling tool.
- Coordinate material delivery for arrival prior to installation.
- Coordinate with Project Managers to maintain schedule dates (material request dates).
- Verify material on hand for installs.
- Attend weekly administrative meetings.
- Interface with other departmental team members to solve problems that cross departments.
- Other customer service, administrative, and clerical duties as assigned.
Knowledge, Skills, and Abilities
- Proficiency with Microsoft Office Suite and advanced proficiency with Microsoft Excel.
- Proficiency in Oracle, JD Edwards, SAP, and/or PeopleSoft a plus.
- Ability to interface with business partners and across departments.
- Strong analytical and problem-solving skills, with demonstrated ability to provide creative solutions to real-time challenges.
- Ability to multi-task.
Education and Experience
- High school diploma or equivalent required.
- 1+ years of practical customer service in the new home construction industry.
- Floor covering experience a plus.

Other Requirements
- The employee frequently is required to stand, walk, sit, and use hands to operate a computer keyboard.
- The employee is occasionally required to reach with hands and arms.
- The employee must occasionally lift and/or move up to 10 pounds.
- This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
- Travel required: negligible
