Job Description

Job Title:  Property Manager

Reports To:  Director of Property Management

Basic Scope and Function of Position:  Ensures the efficient operation of the Property by consistently providing the highest quality product and service.

Primary Responsibilities

  • Operates the property within the financial guidelines and budget established by the Property Manager and Owner(s).
  • Conducts physical inspections of the property and directs maintenance, grounds to establish property physical standards.
  • Directs and evaluates the job performance of all team members; Provides for training, ensures that all team members operate within established policies and procedures, and measures performance against established property goals.
  • Assists with interviews, new hires, and orientations with the team.
  • Through example and supervision, ensures a professional appearance and attitude.
  • Maintains occupancy at established levels by completing marketing plans, advertising, and ensuring that established sales techniques and methods are used effectively.  
  • Responds to all resident requests or complaints in a timely, efficient, and courteous manner.
  • Designs, implements, and maintains resident retention programs including newsletters, recognition, and social events.
  • Reports unusual or extraordinary circumstances regarding residents or the property.
  • Seeks educational and development opportunities in order to stay current with company goals and industry trends.
  • Responds to changes in organization and property by assuming additional responsibilities as assigned.

Daily Tasks

  • Ensures that on-site personnel comply with all published policies and procedures.
  • Inspects exterior and interior of the property: Prepares recommendations for repairs and replacements and follows up for approvals and completion.
  • Reviews delinquent accounts and takes required collection action; Transmits all collected funds immediately.
  • Audits petty cash.
  • Reviews sampling of new leases checks for completeness, accuracy, and ensuring leasing procedures are followed.
  • Maintains accurate vacancy report status and submits reports.
  • Monitors Preventative Maintenance Calendar:  reviews status of complete and incomplete work orders, resolving problems.
  • Prepares property budget and reviews all financial reports monthly to ensure adherence to operating budget. Explains all variances.
  • Reviews all contractual services and solicits new bids as needed.  Approves all purchase orders and routinely inspects inventory and supplies.
  • Conducts interviews for site personnel, monitors and evaluates performance, ensures compliance with Federal and State employment laws, submits payroll, and recommends salary action.
  • Prepares short-term and long-term marketing plans, approves advertisements, and ensures vacant units are market ready.
  • Maintains systems for supporting efficient procedures (filing, business correspondence, purchase orders, rent collection, property inspections, maintenance, staffing, resident relations, etc.)
  • Responds to changes in organization and property by assuming additional responsibilities as assigned.

Organization

  • Maintenance/Vendors:  Coordinates all vendors for service requests, turns, preventative maintenance, upgrades, and building repairs
  • Paperwork: Processes invoices, lease renewals, late notices, promise to pays, delinquency reports, notice to vacate reports, petty cash
  • Budget & Financials: Prepares budget reviews and rent analysis; Participates in financial meetings (income and expense)  

 

Leadership

  • Communicates and hold all team members accountable
  • Leads by example – policies, procedures, rules and regs
  • Motivates and encourages the property team
  • Communicates effectively with all residents 

Qualifications

Required

  • Must have 5 or more years’ experience as a Property Manager or Assistant Property Manager.

Preferred

  • Commercial property management experience a plus
  • New property lease-up experience a plus
