Job Description

M-F Hours:  7:00 AM – 4:00 PM

Overtime may be required

 

Position Summary:   The Dispatcher/Admin Assistant is responsible for helping to facilitate accurate, on-time delivery of quality concrete products while balancing customer service and shipping costs alongside with supporting payroll/HR, accounts payable and the administrative duties associated with operating a production plant. Duties include production reporting, accounts payable, and data entry into the ERP system (JD Edwards), payroll/HR support and first point of contact for employee and payroll/HR, inventory, and purchasing related questions.  Incumbent will also be responsible for onboarding new employees and assist Sales and CRM as needed.  This position will observe confidentiality of all employee and company information.

 

ESSENTIAL FUNCTIONS:

  • Monitor, record, and prioritize the shipment of all finished goods.
  • Proactive contact and professional communication with customers to set up delivery, service and delivery load tickets.
  • Manage delivery dates and coordinate delivery of product with in-house scheduling, plants, and hauling.
  • Scheduling and processing all customer material returns.
  • Scheduling and coordinating with other facilities for material/equipment transfers.
  • Manage customer orders in JD Edwards.  Assist sales with orders created in CRM.
  • Purchase order creation and maintenance. Materials receiving to indicate product has been delivered and recorded in inventory.  Matric data reporting.
  • Manage all purchasing for the location.
  • Conduct new-employee orientation, administer pre-employment tests and random testing, ensures all on-boarding documents are complete and uploaded to Gocat.   Creation and maintenance of personnel, applicant, benefit, I9, payroll and general office files. Process and complete all employee payroll/HR related paperwork and first point of contact to answer questions in regard to benefits and/or payroll issues. First point of contact for hourly non-exempt temps agencies. 
  • General office duties include administer daily mail process, answer and direct incoming calls on multi-line phone system, greet visitors and vendors, accurately file all paperwork, receive/send faxes, order office and safety supplies.
  • Assist with miscellaneous errands and/or parts running as directed by Plant Manager.
  • Month-end reporting and closing process
  • Assist with monthly inventory and update ERP system
  • Set up new vendors and update vendor information
  • Complete regular safety behavioral audits
  • Regular, timely attendance to meet company needs in an efficient and effective manner.
  • Other duties as assigned:  Performs special projects or assignments as directed. 

REQUIRED QUALIFICATIONS/ REQUIREMENTS:

  • ·Two-year degree or equivalent Dispatch Shipping/Logistics experience. Manufacturing, construction or transportation coordination.
  • Understanding of manufacturing and shipping processes.
  • Proficiency with computer programs including Microsoft Office, dispatch applications, Adobe and database/ERP systems.  Able to learn or build upon existing knowledge of computer and/or database.
  • Demonstrate a high degree of accuracy with strong data entry skills.
  • Strong interpersonal skills to interact effectively with a variety of people and personalities.
  • Good communication skills both orally and in writing with all levels of employees.
  • Ability to maintain personnel/payroll files and procedures according to laws and regulations.
  • Work as an effective and proactive team player, understands the importance of supporting the plant, production, HR/Payroll functions along with collaborating professionally with employees and managers.
  • Able to apply effective time management and self-management skills. Able to be flexible and productive in an environment with regular interruptions.
  • Understand and maintain confidential nature of company and employee information.
  • Possess thorough, organized and detail-oriented approach to work. Possess effective problem solving skills.
  • Self-motivated, fast learner, shows initiative, willing to seek out department needs and meet them.
  • Demonstrated pattern of positive attitude, strong work ethic and dedication.
  • Ability to apply effective time management and self-management skills. Ability to be flexible and productive in an environment with regular interruptions.
  • Must have a valid drivers’ license and ability to travel 5 percent of the time.

 

DESIRED QUALIFICATIONS/ REQUIREMENTS:

  • Four-year degree and two or more years of Dispatch/Shipping/Logistics experience.
  • One plus year manufacture administrative experience preferred.
  • Knowledge of precast concrete industry or underground construction.
  • JD Edwards and TMS experience preferred but not required.
