JOB SUMMARY

The Office Administrator provides administrative support to the Columbus office. This role is responsible for managing the day-to-day procedures of the office including welcoming guests, interacting with vendors and corporate IT for office equipment, answering the phones, arranging catering for events, configuration of meeting rooms and cleanup, and other duties as needed. The Office Administrator position requires the team member to be onsite during normal business hours Monday - Friday in our Columbus, Ohio, location. They are the first person a guest sees when entering the office; therefore, professionalism is very important. The Office Administrator will need to exemplify one of Schellman's core values, Quality Above All by setting a good first impression with each and every person that enters the office. This role reports to the Senior Executive Assistant.

Essential Functions:

  • Welcome and assist employees, clients and guests, ensuing that reception area is warm, welcoming, and presentable for guests
  • Maintain office security by following safety procedures and controlling office access via the reception desk
  • Collect/receive, sort, and distribute daily mail and deliveries
  • Answer, screen, route calls and relay messages using telephone systems.
  • Submit and monitor work orders for all office maintenance and systems issues
  • Order office supplies and kitchen staples keeping both in stock and organized.
  • Arrange meeting and training catering, reservations and agendas as well as meeting room configuration and clean up for each instance as required
  • Supervise the maintenance of office areas, equipment, and facilities
  • Interact with vendors including IT, phone and building personnel as needed
  • Coordinate with corporate IT on all office equipment
  • Other duties as needed


Knowledge, Skills, and Abilities:
  • Basic proficiency with Microsoft Office tools including Outlook, Excel, Word and PowerPoint.
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
  • Exhibits organization skills and high attention to detail.
  • Maintain extreme confidentiality, both internally and externally, in all matters
  • Familiarity with office equipment (e.g. printers, scanners, etc.)


Education, Work Experience and Certifications
  • 2-5 years of experience in a receptionist or office administration role
