  • Support the long-term vision and strategic planning of programs alongside Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program.
  • Execute program strategies at the direction of the Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program by coordinating and communicating with program partners, grantees, and consultants, developing program materials and other assigned tasks.
  • Coordinate and serve as the point person for the planning and coordination for program events, webinars, and meetings, both on- and off-site. This includes contributing to the overall design of events, scheduling, coordinating with the conferencing department, monitoring the planning process acting as point person at designated events.
  • Prepare and develop event materials including agendas, PowerPoint presentations, handouts, registration materials and other document production, under the supervision of the Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program.  This includes working with evaluation staff/contractors and Senior Program Officer on event evaluation and summaries.
  • Support the Managing Director, Healthy Youth Development and Senior Program Officer to develop, strengthen and implement the program’s internal processes to better serve the diverse community partners and the goals of the program portfolio.
  • Act as a liaison with the Communications Department and create content for newsletters, publication and video development, and other communications-related needs.  This position will contribute to the development and implementation of a communication strategy, including social media to support dissemination of information related to assigned programs.
  • Provide Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program with administrative support during the creation, implementation, and management of programs. This includes coordinating and tracking the status of program projects including timelines, and deliverables.
  • Coordinating department calendars, making travel arrangements, creating correspondence and other general administrative duties. 
 GRANTS AND CONTRACTS
  • Coordinate with the Program and Administration Departments in the development of contracts and grant agreements to accomplish program strategies. Review grant agreements and contracts for program specifications and approval by Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program. 
  • Act as a liaison with the Administration Department in the coordination and monitoring of grant agreements, contracts and other third-party agreements that require Senior Program Officers’ review and approval.
  • Assist with the external contract-monitoring process, which includes ensuring contractor deliverables are submitted on time with appropriate content that is consistent with contract language. Initiate approval of deliverables by Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program, and monitoring invoicing.
  • Monitor primary file of contractors, ensuring working files are integrated. correspondence, reports and payment documents are filed, essential documents scanned, and the database is updated.
  • Coordinate requests for proposals under the supervision of the Managing Director, Healthy Youth Development and Senior Program Officer.  Assist with the development of the RFA, criteria, questions and final application.  Communicate with applicants and grantees throughout the application process, as necessary.
  • Participate in the grant application review process. The Senior Program Associate reviews grant applications, edits application project descriptions for input into the grants management database, prepares reports for the grant determination meeting, participates in determination meetings with Program team members and other tasks, as necessary.
  • Assist with the grant-monitoring process, which includes assisting with the evaluation of grantee progress reports. Provide technical assistance to grantees on grant- or award-related matters and ensure timely response to monitoring issues.
  • Work with Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program to actively track and summarize state and local policy issues as part of policy focused initiatives that may impact program content areas.
FOUNDATION AND THE CENTER
  • Conduct research, on funding opportunities and policy issues to, implement and enhance programs.
  • Assist with the coordination and preparation of grant applications to external funders, under the guidance of the Managing Director, Healthy Youth Development and Senior Program Officer. Work with staff and external consultants to prepare required documentation for applications. 
  • Under the direction of the Managing Director, Healthy Youth Development and Senior Program Officer of the Elevate Youth California program, assist with monitoring program-related expenses and program budgets, including third party budgets.
  • Under supervision of the Managing Director, Healthy Youth Development and Senior Program Officer, work with the Evaluation Director and implement activities consistent with program evaluation plans.
  • Monitor external funder reports to ensure submission of all required reports. This includes determining requirements, drafting under the direction of the Senior Program Officer of the Elevate Youth California program and review of reports, as well as submissions.
  • Facilitate small group meetings related to assigned programs.
  • Attend meetings and participate in grantee visits as appropriate. Take notes and prepare timely meeting summaries and perform required follow-up activities.
  • Actively participate as a member of the Program team, participate in Foundation meetings, attend team meetings and collaborate with team members.
  • Document impact of programs under consultation of Evaluation Director by analyzing grantee progress reports, evaluation reports and other documents and/or publications.
  • Represent the Foundation at community and philanthropic activities and events.
  • Other tasks as assigned.

  • A Bachelor’s degree in Public Policy, Social Work, Human Services or related field.
  •  3-5 years of experience in administrative support, preferably in grant making, nonprofit or related field. .
  • Strong knowledge in public health, public policy, and or health equity work preferred.
  • Experience in community organizing and coalition-building.
  • Experience implementing and/or overseeing systems change and policy advocacy work.
  • Strong  program development, implementation, and strategic planning.
  • Deep understanding of social media content creation and dissemination.
  • Knowledge and/or direct experience in California’s statewide organizing and advocacy efforts related to social justice, youth development, or related field.
  • Demonstrated commitment to achieving racial and health equity.
 CERTIFICATES, LICENSES, REGULATIONSMust have a current valid driver’s license and be insurable under the foundation’s insurance policy. Must have a reliable vehicle to perform various in-field tasks.LANGUAGE SKILLS                                   
  • Excellent written and oral communication skills.
  • Ability to read, analyze and interpret studies, proposals, reports, journals, financial and database reports, grant agreements, contracts, and memos.
  • Ability to compose business correspondence.
  • Ability to effectively present information in one-on-one and small group situations to grantees, employees of the organization and others.
  • Ability to facilitate small group meetings.
  • Bilingual skills are preferred. .
COMPUTER SKILLS 
  • Must be proficient in Windows, Microsoft Office, Outlook, database software, Adobe Acrobat, and internet use.
OTHER SKILLS AND ABILITIES    
  • Must have strong interpersonal skills to handle sensitive and confidential situations and documentation.
  • Ability to respond to common inquiries from partners, applicants, grantees, contractors, and members of the community in a timely manner.
  • Must have excellent analytical and problem-solving abilities.
  • Must have strong attention to detail in data entry, analysis of contracts, composing, typing, and proofing materials.
  • Must have excellent time management, ability to plan in advance and be extremely organized.
  • Must have knowledge of office administration procedures and the use of and operation of standard office equipment.
  • Must be able to work independently, take direction and exercise sound judgment within a team. in a small office setting on special nonrecurring and ongoing projects.
  • Ability to work in a fast-paced environment with flexibility.
  • Ability to work with individuals from diverse communities and varies demographics. .

This is a full-time non-exempt position with a hiring range between $31.25-$34.00 per hour.
