Job Summary:

The U.S. Open Coordinator is responsible for coordinating rooms, golf and banquet reservations for groups booked by the Sales department and non-resort golf groups.

Essential Duties & Responsibilities:

  • Book rooms, golf, catering functions, transportation, dining & recreational activities for U.S. Open Hospitality groups.
  • Follow up with client to ensure that contract, collateral, rooming list, and all completed forms are received in a timely manner.
  • Conduct site inspections/pre-planning meetings to include other U.S. Open committee members
  • Manage golf tee times for all courses over U.S. Open.
  • Manager meeting/event spaces for all hotel properties over U.S. Open to include build out and teardown.
  • Update and maintain client files including contracts, booking patterns, receipt of rooming list form, itinerary and other pertinent information on rooms, golf, meals, and functions.
  • Collect and record receipt of deposit.
  • Confirm all information on resume with appropriate departments, such as banquet event orders, amenity forms, and memos to pro shops.
  • Solicit, develop, and maintain relationships with clients through written and verbal correspondence.
  • Draft working room list and master list of all attendees for each group.
  • Enter appropriate group booking data in hotel reservation (SMS) and Sales/Conference Services (Delphi) systems.
  • Communicate pertinent information to other division employees, especially administrative staff, through verbal and written correspondence.
  • Schedule and conduct meet and greets with client and Senior Staff.
  • Work with MSG Promotions to ensure all client information is distributed to the appropriate individuals.
  • Maintain U.S. Open Group Revenue report and assist with the PBC Controlled rooms (Sold and Allocated) report.

Absolutely Required Skills: 

  • Must be service oriented, a self-starter, accurate and able to work with attention to detail.
  • Excellent telephone skills required.
  • Proficient in Microsoft Office.
  • Good organizational and time management skills.
  • Minimum 1 year of hotel/resort experience, preferably in Reservations or Sales.

Desired Skills:

  • Knowledge of hotel reservations systems helpful. 

Physical Requirement:

Ability to sit for long periods of time. Repetitive hand use.
