GENERAL DESCRIPTIONย 

The Athletic Department Coordinator provides administrative and operational support to the Athletic Director and serves as a key member of the Athletic Department. This position assists with the day-to-day organization of the department by coordinating communications, scheduling, event operations, athletic registration, eligibility, purchasing, inventory, and administrative processes.ย 

The Athletic Department Coordinator helps ensure that athletic programs operate efficiently while supporting coaches, student-athletes, families, officials, and vendors in a professional, Christ-centered manner.ย 

ESSENTIAL JOB FUNCTIONSย 

Communicationsย 

  • Serve as a primary administrative point of contact for the Athletic Departmentย 
  • Respond to routine parent, coach, and vendor inquiriesย 
  • Draft and distribute athletic department communicationsย 
  • Maintain department email lists and contact databasesย 

Calendar & Schedulingย 

  • Maintain the athletic department master calendarย 
  • Coordinate meetings, facility reservations, and event schedulesย 
  • Assist with transportation scheduling and logisticsย 
  • Support game and practice schedulingย 

Paperwork & Administrative Supportย 

  • Prepare, organize, and maintain department records and filesย 
  • Assist with reports, data entry, spreadsheets, and general office administrationย 
  • Maintain digital filing systems and department documentationย 

Event Supportย 

  • Assist with home athletic events and game-day operationsย 
  • Coordinate volunteers and event logisticsย 
  • Prepare game materials, passes, and event suppliesย

Ordering & Purchasingย 

  • Prepare purchase requestsย 
  • Order athletic equipment, uniforms, apparel, and suppliesย 
  • Coordinate with vendors regarding orders and deliveriesย 

Equipment & Inventory Supportย 

  • Assist with maintaining equipment and uniform inventoriesย 
  • Coordinate uniform checkout and collectionย 
  • Support equipment needs, repairs, and replacementsย 

Athletic Eligibility Supportย 

  • Assist with eligibility trackingย 
  • Monitor physicals and required participation paperworkย 
  • Maintain athlete participation recordsย 
  • Organize league and CIF compliance documentationย 

Website & Social Media Supportย 

  • Update athletic department webpages with schedules and announcementsย 
  • Assist with coordinating social media contentย 
  • Promote student-athlete achievements in coordination with the Social Media Managerย 

Registration Supportย 

  • Assist with athletic registration and enrollmentย 
  • Verify required forms and participation documentsย 
  • Answer parent questions regarding registrationย 
  • Organize preseason information and tryout materialsย 

Officials & Vendor Coordinationย 

  • Coordinate communication with game officialsย 
  • Assist with confirming officialsย 
  • Coordinate with vendors for services and purchasesย 
  • Track invoices and assist with payment documentationย 

Summer Program Supportย 

  • Assist with planning and administration of summer athletic campsย 
  • Prepare materials for upcoming seasonsย 
  • Support preseason organization and equipment orderingย 
  • Update department documents, forms, and handbooksย 

Additional Dutiesย 

  • Perform other duties as assigned by the Athletic Director in support of the Athletic Departmentย 


Requirements

Reporting: This position reports to the CCS Athletic Directorย 

Organization: CCS Athletic Departmentย 

WORKING CONDITIONSย 

  • Able to open and close School Campus Facilitiesย 
  • Able to sit and work at a computer keyboard for extended periods of time.ย 
  • Able to stoop, kneel, bend at the waist and reach daily.ย 
  • Able to perform general office administrative activities: copying, filing, delivering and using the telephone.ย 
  • Able to lift and move up to 25 pounds occasionally.ย 

MENTAL WORK DEMANDS AND POSITION REQUIREMENTSย 

  • Regular and on-time attendance.ย 
  • Hours not to exceed 20 hours per week.ย 
  • Attend in-services and professional development meetings as deemed necessary by the Administration.ย
