JOB SUMMARY
The Events and Special Projects Coordinator will be responsible for planning, managing, and executing events and projects to raise support and awareness of Anne Carlsen. The Events and Special Projects Coordinator will work with all Anne Carlsen departments statewide to plan, implement, and execute fundraising, operational, and awareness events.
QUALIFICATIONS (minimum requirements)
Education and/or years’ experience required:
- Bachelor’s degree
- Three years’ experience in event management, planning and direction
Preferred Skills and Abilities:
- Four years’ working experience in event management, planning and direction.
- Experience with CRM databases
Supervision of others/decision making aptitude (if applicable): This position will have not have supervisory responsibilities.
ESSENTIAL FUNCTIONS
- Demonstrate the ability to monitor the progress of the planning and execution of each event.
- Demonstrate the ability to serve as the supervisor of the production process of an event.
- Demonstrate the ability to review and approve all materials related to event(s).
- Demonstrate the ability to serve as liaison to all vendors on event(s) matters.
- Demonstrate the ability to provide periodic progress reports and post-event evaluation to the Vice President of Marketing and Development for each event(s).
- Demonstrate the ability to schedule events on the macro level and micro level.
- Demonstrate the ability to prepare preliminary event budgets.
- Demonstrate the ability to negotiate contracts for space, food, supplies, audiovisual equipment, travel, signage, décor, etc.,
- Demonstrate the ability to brainstorm new and upcoming participation events statewide.
- Demonstrate the ability to manage online and silent auctions through the auction’s full cycle.
- Demonstrate the ability to coordinate and manage volunteer support for events and projects.
- Demonstrate the ability to prepare and manage event registration databases and development databases.
- Demonstrate the ability to track all event finances.
- Demonstrate the ability to prepare all day-of-event materials with support of marketing team.
- Demonstrate the ability to supervise on-site production and post-event wrap-up.
- Demonstrate the ability to conduct follow-up and outreach to event attendees.
- Demonstrate the ability to assist with Major Gifts, Institutional Giving and Planned Giving activities as required, assist with database entry, acknowledgement correspondence and other donor stewardship.
- Demonstrate the ability to build relationships with current and potential Anne Carlsen supporters.
- Demonstrate the ability to manage and track all Anne Carlsen promotional equipment and materials across the state.
- Demonstrates the ability to work in conjunction with staff and volunteers to ensure the highest standards in public relations.
- Demonstrates ability to follow all Anne Carlsen policies and procedures.
