Job Title: Training Program Administrator

Location: St Louis, MO

What you will be doing:

We are seeking a dedicated Training Program Administrator to support the Air Force Reserve Command's Comprehensive Medical Readiness Program at Mercy Hospital. Mercy Health System's facilities across Missouri, Arkansas, and Oklahoma provide advanced medical services and training opportunities for nine Air Force Specialty Codes, supporting required readiness training and annual exercises.

You Must Have:

  • Must be able to provide proof of US Citizenship
  • Must be able to pass a background screening
  • Possess a minimum of an undergraduate degree in healthcare administration; or business-related field with 5 years of proven experience as a healthcare administrator, certified project manager or in a related area(s).
  • Possess extensive knowledge and understanding of applicable Air Force and professional standards.
  • Possess knowledge of military and civilian guidelines that govern policy and procedure.

Nice To Have:

  • A Master's degree in above fields is highly desired.
  • Prior experience in a healthcare setting with clinical trauma (ER/ICU) is highly desired.

Tasks

  • Consistently demonstrate exceptional interpersonal skills by fostering positive, collaborative relationships with internal teams, external partners, and stakeholders.
  • Deliver clear, concise, and professional verbal communication in meetings, presentations, and briefings.
  • Provide written communications, including reports, correspondence, and technical documentation, shall be accurate, well-structured, and tailored to the intended audience.
  • Assist in facilitating Mercy Health Systems informational tours for visiting dignitaries, public organizations, and internal/external persons interested in the Training Platform's activities. This may involve coordinating site visits, parking, reserving meeting rooms, refreshments, and refining itineraries with other departments.
  • Assist in collecting, reviewing, and filing After Action Reports and surveys from each unit/individual that completes annual tour at Mercy Health. Report results to Program Director at quarterly staff meetings.
  • Coordinate with Mercy Health SIM lab POC to schedule time for AFRC usage.
  • Develop the Monthly Training Roster and ensure it contains a detailed log of all personnel trained, dates, and specific training tasks signed off, along with any other data required.
  • Provide administrative support for military staff members assigned at Mercy Health. Mercy Health is a training platform partnered with Air Force Reserve Command that provides advanced trauma/critical care for DoD medical personnel.
  • Coordinate scheduling training for required military members across all contracted Mercy Health locations.
  • Coordinate updates and reviews the Training Affiliation Agreements (TAAs) and Memorandum of Agreement (MOAs & MOUs) with all civilian universities/military organizations, which will require significant coordination with each legal division(s) and the United States Air Force Reserve Command.
  • Perform the following administrative management service-oriented tasks: answering phone calls and correspondence, typing, filing, building, and maintaining simple databases, ordering office supplies, scheduling rooms, coordinating with Mercy Health System as needed, constructing training, and in-processing packets for all members.
  • Assist with member registration on the first day of training, badge procurement, scrub and badge issue, roster and/or other required administrative paperwork.
  • Assist in building an annual schedule based on fiscal year and publishes no later than (NLT) 1 July.
  • Work with reserve units to ensure they submit required information according to scheduling timelines, i.e. scheduling request 90 days prior to arrival, pre-hospital orientation packets/documents NLT 60 days prior to arrival.
  • Coordinate with housekeeping and security to ensure operation security and badge control monitoring requirements are met.
  • Update reserve medical training contacts and capabilities roster on a quarterly or as needed basis.
