What is the difference between Weekend Virtual Receptionist vs Part-Time Administrative Assistant?

AspectWeekend Virtual ReceptionistPart-Time Administrative Assistant
CredentialsBasic computer skills, customer service experienceAdministrative or office experience, sometimes certifications

Industry UsageCustomer service, small business, healthcareVarious industries, corporate, nonprofit
Search IntentCustomer support, virtual receptionist jobsAdministrative support, part-time office work

The Weekend Virtual Receptionist primarily handles customer calls and inquiries remotely during weekends, focusing on front-desk duties virtually. In contrast, a Part-Time Administrative Assistant may perform a broader range of office tasks, often during weekdays, including scheduling, data entry, and correspondence. While both roles may require similar basic skills, the virtual receptionist role emphasizes customer interaction and remote work, whereas the administrative assistant may work in-office or remotely with administrative responsibilities.

What are the key skills and qualifications needed to thrive as a Weekend Virtual Receptionist, and why are they important?

To thrive as a Weekend Virtual Receptionist, you need strong communication skills, attention to detail, and basic computer literacy, often supported by prior customer service or administrative experience. Familiarity with phone systems, scheduling software, and customer relationship management (CRM) tools is typically required. Excellent organizational skills, professionalism, and the ability to multitask remotely set top performers apart. These skills ensure efficient handling of inquiries, seamless appointment management, and a positive client experience during weekend hours.

What are some common challenges faced by weekend virtual receptionists, and how can they be managed effectively?

Weekend virtual receptionists often handle higher call volumes with limited support, as many businesses operate with smaller teams on weekends. This can mean juggling multiple tasks such as answering calls, scheduling appointments, and managing inquiries simultaneously. To manage these challenges effectively, strong organizational skills, proactive communication, and familiarity with the company's systems are essential. Many virtual receptionists find it helpful to prepare by reviewing common questions and procedures before their shifts and keeping detailed notes for reference. Collaboration tools and regular updates with weekday staff can also help ensure continuity and minimize confusion.

What is a Weekend Virtual Receptionist?

A Weekend Virtual Receptionist is a remote professional who manages calls, messages, and administrative tasks for businesses during weekends. They perform duties such as answering phone calls, scheduling appointments, handling customer inquiries, and forwarding important messages. By working virtually, they provide flexibility and ensure businesses remain responsive to clients even outside of standard weekday hours.

Job description

Description

Sharetec is looking for a part time Receptionist to join our team!

At Sharetec, we believe in the talent of our workforce. We have the opportunity to make millions of peoples' lives easier by developing innovative solutions for credit unions and their members to utilize on a daily basis. Our customers rely on us to deliver powerful technology and to be their caring partner.

As a Receptionist, you will serve as the first point of contact for all visitors, callers, and incoming communications, playing a critical role in shaping a professional and welcoming first impression of the organization. You will be responsible for delivering exceptional customer service, efficiently managing inbound communications, and ensuring all customer interactions are accurately documented and routed within Salesforce, while also providing administrative support to ensure smooth daily office operations.

This is a non-exempt, hybrid position (following training) based in Fort Wayne, Indiana. This is a part-time position (20 hours/week). The salary for this role is $16.00 to $16.50/hour + bonus.

As a Receptionist, your responsibilities will include:

Customer Engagement & Front Desk Operations

  • Serve as the primary point of contact for incoming phone calls and front desk inquiries.
  • Provide accurate information, route calls appropriately, and ensure timely follow-up where needed.
  • Represent the organization with professionalism, courtesy, and a strong customer service mindset in every interaction.

Case Logging & Communication Management

  • Document all customer interactions (calls, emails, and in-person inquiries) accurately and promptly within Salesforce.
  • Ensure all customer concerns are logged and routed to the appropriate departmental queues in alignment with established procedures.
  • Maintain high data integrity and consistency in all case documentation to support effective resolution and reporting.

Administrative Support & Office Coordination

  • Manage incoming and outgoing correspondence, including mail, email, and fax communications.
  • Perform general administrative tasks including data entry, filing, photocopying, and office supply maintenance.
  • Support internal teams with scheduling, coordination, and ad hoc administrative needs as requested.

Information & Visitor Support

  • Serve as a knowledgeable and helpful resource for visitors and callers regarding general organizational information, services, and location details.
  • Assist with special requests such as transportation coordination, reservations, and general visitor or staff support needs.

You should have:

  • Proven experience as a Receptionist, Front Office Representative, or similar customer-facing role utilizing a multi-line phone system.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and a CRM; Salesforce experience preferred.
  • Hands-on experience with standard office equipment (fax, printers, scanners).
  • Strong interpersonal, written, and verbal communication skills.
  • Excellent organizational skills with the ability to multitask, prioritize, and follow documented processes consistently.
  • A resourceful, proactive approach to problem-solving and a genuine commitment to delivering high-quality customer experiences.
  • High school diploma or equivalent.

Why Sharetec:

Acquired by Evergreen Financial Services Group (EFTG) in late 2020, Sharetec is now marching towards rapid growth and expansion into new markets. We are a team of highly focused and dedicated individuals who stop at nothing to achieve success no matter how great or small the challenge. As a core and digital software provider for credit unions, Sharetec empowers clients with modern tools for member services, lending, and an enhanced member experience.

At Sharetec, we believe in taking care of our people, both professionally and personally. Our comprehensive benefits package includes competitive salaries, medical, dental, vision, life, and disability coverage, generous Paid Time Off (PTO), paid holidays (including your birthday off!), a $1,000 employee referral program, and a 401(k) with company matching.

We are a team of bold, powerful, and caring individuals who work closely together, whether in a hybrid setting or fully remote. We stay connected through virtual events like mixology classes, escape rooms, and trivia nights, as well as monthly  all-hands meetings that keep us aligned and engaged. At Sharetec, you'll find not just great benefits, but incredible people who lift each other up, challenge each other to grow, and make work meaningful and fun every day.

Sharetec is an equal opportunity employer.
