The Receptionist is responsible for being the first contact and example of customer service at our Edward Rose & Sons offices whether in-person or through phone or e-mail communications. The Receptionist is expected to be professional and courteous to all guests and team members, providing assistance or connecting them with the appropriate contact person.

What are the responsibilities of a Receptionist?

  • Welcome visitors, determine nature of business, and announce visitors to appropriate team members.

  • Answer, screen, and direct phone calls and e-mails to team members; taking messages and scheduling appointments as needed.

  • Receive mail, documents, packages, and courier deliveries. Distributes items to appropriate parties.

  • Assist with event management for office holiday party and outings 
  • Prepare mail and packages for shipping.

  • Maintain telephone directory for assigned portfolio.

  • Maintain office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, and placing orders.

  • Perform administrative duties as needed including creating presentations, mailing, copying, or compiling materials.

  • Perform basic filing and recordkeeping.

  • Complete daily office opening and closure procedures.

  • Proactively plan for time off and arrange for coverage of the receptionist area.

What are the role requirements?

  • High School Diploma is required.

  • Previous administrative experience is preferred.

  • Must adhere to regular office hours schedule, which is typically 8 am – 5 pm.

  • Understanding of basic administrative and clerical procedures and systems.

  • Must be proficient with Microsoft Office programs.

  • Ability to be organized, detail-oriented, and to work effectively in a fast-paced environment.

  • Ability to work cooperatively and respectfully with others.

  • Must possess exceptional organizational and time-management skills, including the ability to balance and prioritize simultaneous projects and tasks.

  • Strong written and verbal communication skills are required.

  • Must present the ability to execute job duties under stressful circumstances such as last-minute deadlines or other difficult situations.

  • Maintains a high level of confidentiality.

  • Regular attendance, work ethic and strong interpersonal skills are required for success in this position.

  • Must have a valid driver’s license and reliable transportation.
