Location: Traverse City, MI
Summary:
This position assists with the ministry of St. Patrick parish by supporting the various administrative functions of the parish. The Secretary directs these efforts with expertise from a framework of shared ministry and Catholic values.
General Duties and Responsibilities:

  • Supports the various administrative functions of the parish.
  • Acts as the central point of contact for disseminating information.
  • Oversees the daily workflow of the parish office, and various volunteers.
  • Performs secretarial duties for the pastor.
  • Receives and places telephone calls, monitors the overall parish calendar, prepares written communications, and processes mail.
  • Process bulk mailings, as needed.
  • Greets and refers guests to appropriate outlets.
  • Establishes and maintains office record-keeping and filing systems.
  • Coordinates the distribution of keys, use of facilities.
  • Attends meetings, as requested.
  • Handles opening/closing of the office each business day.
  • Prepares the weekly bulletin.
  • Prepares and distributes staff meeting minutes.
  • Maintains the parish offering envelope system, posts weekly contributions, mails annual statements as required by the IRS.
  • Coordinates scheduling of weddings, funerals, and other parish events.
  • Maintains the sacramental record-keeping system, plus mass intentions.
Education and Experience:
  • High School graduate or equivalent required. A college degree in office administration or related field is desirable.
  • Able to observe the standards of confidentiality.
  • Rudimentary knowledge of computer systems.
