About the Role
We are seeking a professional, organized, and detail-oriented Receptionist to support daily office and program operations. This role serves as the first point of contact for visitors, clients, and staff while also providing essential administrative and clerical support across departments. The ideal candidate is friendly, dependable, highly organized, and able to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.
Key Responsibilities
  • Greet visitors, clients, and vendors in a professional and welcoming manner.
  • Answer and direct incoming phone calls and take accurate messages.
  • Maintain a clean, organized, and professional reception area.
  • Sort, distribute, and prepare incoming and outgoing mail, packages, faxes, and deliveries.
  • Schedule interviews and route employment applications to hiring managers.
  • Provide clerical and administrative support including filing, copying, scanning, printing, word processing, and data entry.
  • Maintain and update spreadsheets, tracking logs, rosters, certifications, and operational records.
  • Assist with maintaining program files, billing support documentation, and compliance-related paperwork.
  • Support administrative processes such as intake, discharge, recertification, move-in/move-out documentation, and eligibility paperwork as applicable.
  • Coordinate with internal departments, outside agencies, vendors, landlords, and community partners to support office and program operations.
  • Track CPR/First Aid certifications and send renewal reminders as needed.
  • Ensure documentation is accurate, complete, and properly filed in accordance with agency and program requirements.
  • Attend team meetings and communicate effectively with staff and external partners.
  • Maintain confidentiality of employee, client, and organizational information.
  • Perform additional administrative duties and special projects as assigned.
Job Requirements
  • High school diploma required; Associate's or Bachelor's degree preferred.
  • Minimum of 2 years of receptionist, clerical, or administrative support experience
  • Experience in healthcare, nonprofit, human services, housing, or related settings is a plus.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office and general office technology.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work independently and collaboratively within a team environment.
  • Professional demeanor with strong interpersonal skills.
  • Valid driver's license and reliable transportation may be required depending on assignment.
Physical Requirements
  • Ability to sit and work at a desk or computer workstation for extended periods.
  • Ability to use office equipment including computers, phones, printers, and copiers.
  • Ability to move throughout office and program locations as needed.
  • Ability to lift and carry mail, packages, or office materials up to 25-40 lbs.
  • Ability to ascend and descend stairs when required by assigned work locations.
Work Environment
Work is performed in office, program, and community-based settings. This position may require occasional local travel between sites. The environment is typically professional and fast-paced with moderate noise levels.
