Job description

We are seeking a highly tech-savvy, detail-oriented AI-Enhanced Virtual Assistant to support our
team remotely in administrative, operational, and AI-integrated functions. This role goes beyond
traditional VA duties. You'll play a key part in implementing AI solutions to improve business
operations, customer engagement, and decision-making processes.
Requirements
AI & Tech Integration:
  • Implement and manage AI tools (e.g., ChatGPT, Zapier, Notion AI) to automate and enhance business operations

Support AI-driven systems for:
  • Member Retention & Churn Prediction - Identify at-risk members, automate outreach, and escalate when needed
  • Curriculum Tracking & Progress Updates - Monitor attendance, skill progression, and send personalized updates
  • Staff Scheduling Optimization - Forecast demand and auto-assign shifts using AI
  • 24/7 Sales & Lead Management - Automate lead capture, follow-up, and conversion via SMS, email, and chat
  • Performance Dashboards & Insights - Summarize key metrics and provide actionable recommendations
  • Cultural Feedback & Exit Intelligence - Gather feedback, suggest morale improvements, and handle cancellation recovery

Administrative Support
  • Manage calendars, schedules, and email inboxes
  • Organize digital files and documents for easy retrieval
  • Prepare presentations, reports, and documents using AI-enhanced tools

Communication Management
  • Draft and respond to internal/external communications
  • Create meeting recaps and AI-generated follow-up summaries
  • Manage team notifications and updates across platforms like Slack or Teams

Project & Task Coordination
  • Track tasks and progress using tools like ClickUp, Asana, or Trello
  • Conduct online research and summarize insights using AI
  • Support project planning and collaboration across teams
    Client Support & Interaction
  • Provide prompt responses to client inquiries and escalate when needed
  • Use chatbots and AI to improve service quality and speed
  • Handle sales-related communication and appointment setting via SMS and email

Qualifications & Skills:
  • Proven experience as a Virtual Assistant or in a similar administrative/support role
  • Highly tech-savvy with hands-on experience using AI tools (e.g., ChatGPT, Notion AI, Jasper, GrammarlyGO)
  • Familiarity with automation platforms like Zapier or Airtable to streamline tasks
  • Proficient with productivity and communication tools such as Google Workspace, Microsoft Office, Slack, and Zoom
  • Strong written and verbal communication skills in English
  • Able to work independently, manage multiple priorities, and maintain confidentiality
  • Detail-oriented, organized, and quick to learn new technologies
  • Has coaching and consultative experience in a similar role
