Being a Dispatcher for Guardian Fleet Services means becoming the central hub of communication, coordination, and support for our entire operation. Dispatchers are the heartbeat of the company-balancing customer needs, driver safety, and operational efficiency with calm, steady leadership. At Guardian Fleet Services, dispatchers don't just send trucks-they keep the mission moving.
Seeking a highly organized and customer-focused Specialized Dispatcher to support our transportation and logistics operations. This position serves as a key point of contact for customers, drivers, and internal departments by coordinating transportation requests, dispatching drivers, maintaining accurate records, processing billing, and ensuring exceptional customer service.
The ideal candidate thrives in a fast-paced environment, can effectively manage multiple priorities, and possesses strong communication, organizational, and computer skills.
Essential Duties and Responsibilities
  • Answer incoming customer calls and provide professional, courteous customer service.
  • Receive, document, and process transportation service requests.
  • Schedule and dispatch drivers based on customer needs, service requirements, geographic location, and driver availability.
  • Monitor transportation schedules and communicate updates to customers and drivers as needed.
  • Maintain ongoing communication with drivers throughout the workday.
  • Respond to service issues and coordinate resolutions with management and field personnel.
  • Provide customers with pricing information and service details.
  • Prepare and process customer invoices accurately and timely.
  • Review driver paperwork, service documentation, and billing information for accuracy.
  • Enter and maintain customer service and billing information within company software systems.
  • Process customer payments and maintain payment records.
  • Maintain organized electronic and paper records related to transportation services, customer requests, billing, expenses, and operational activities.
  • Generate reports and provide administrative support to management as requested.
  • Assist with other office, dispatch, and administrative duties as assigned.

Qualifications
  • High school diploma or GED required.
  • Minimum one year of dispatching, customer service, administrative, billing, or related experience preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational and time management abilities.
  • Ability to manage multiple phone calls and tasks simultaneously in a fast-paced environment.
  • Accurate data entry and attention to detail.
  • Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to learn company-specific dispatching and billing software.
  • Ability to work independently with minimal supervision.
  • Ability to pass a background check and drug screening.

Physical Requirements
Ability to clearly communicate both orally and in writing on a telephone and on a computer for extended periods. Routinely requires sitting at a desk and viewing a display screen for extended periods. Ability to access, input, and retrieve information from a computer or other electronic device. Routinely requires moderate (up to 40 pounds) lifting and carrying. Routinely requires walking, standing, sitting, kneeling, stooping, reaching up, twisting, and bending. Good hearing and vision required.
