JOB DESCRIPTION
The Personal Training Director is the business owner of the Personal Training department at an assigned club location, accountable for the overall performance, profitability, and member experience of that department. This position leads by example, upholds Company standards, and is the point of reference for fitness expertise within the location. The Personal Training Director recruits, develops, and retains a high-quality training team; maintains accurate Personal Trainer headcount and capacity to meet member demand; and is accountable for the successful attainment of departmental targets, including revenue performance, new-client enrollment, client retention, and client results. In addition to leading the department, the Personal Training Director personally services qualifying Personal Training sessions and maintains an active client base.
Business Ownership & Scope of Authority
The Personal Training Director is designed to operate as the business owner of the Personal Training department at the assigned location and is expected to be the first line of resolution for substantially all business, operational, staffing, and performance matters that arise within that department. When a Personal Trainer position is vacant or the department is below its approved staffing plan, the Personal Training Director is directly responsible for maintaining member service levels and session delivery until the position is filled, and for prioritizing recruitment and placement of qualified trainers without unreasonable delay. Aside from matters requiring formal legal review or Human Resources involvement, or matters that must be escalated to the Regional Director of Fitness, the Personal Training Director is expected to identify, own, and resolve issues at the location directly. ESCALATION The following matters fall outside this position’s scope of authority and must be escalated to the Regional Director of Fitness, Human Resources, Legal, or other designated Company leadership rather than resolved independently:
•Formal workplace investigations, harassment or discrimination complaints, and other protected employee-relations matters governed by Human Resources policy.
•Termination decisions, leave-of-absence administration, and other actions requiring Human Resources review and approval.
•Legal disputes, claims, subpoenas, regulatory inquiries, or matters requiring the involvement of the Company’s Legal department.
•Changes to approved staffing plans, budgets, pricing, or Company-established Personal Training programming.
•Matters otherwise designated by Company policy as requiring escalation beyond the Personal Training Director’s scope of authority.
Span of Control & Organizational Relationship
This position has leadership responsibility for the Personal Training department at one (1) assigned club location. This position directly manages, or provides leadership oversight for, the following positions:
•Personal Training Director in Training
•Elite Trainer
•Master Trainer
•Personal Trainer
Essential Duties & Responsibilities
The following are essential functions of this position. Essential functions are the fundamental duties of the position that the Company considers necessary to the role, performed with or without reasonable accommodation. This list is representative and not exhaustive.
Leadership & Staffing
•Recruit, hire, onboard, develop, and retain qualified Personal Trainers and Personal Training Directors in Training at the assigned location.
•Maintain accurate Personal Trainer headcount and training capacity against the approved staffing plan to support member demand, service levels, and revenue goals.
•Conduct regular (weekly or as-needed) one-on-one meetings and team meetings with direct reports to review performance and provide direction, motivation, and guidance toward individual and Company goals.
•Build and sustain a culture of employee engagement and motivation that supports long-term employee tenure and reduces turnover at the location.
•Identify, develop, and prepare talent for advancement within the Personal Training organization, including developing Personal Training Directors in Training toward Director readiness.
•Administer coaching and discipline under the guidance of the Regional Director of Fitness, escalating matters as described in the Business Ownership & Scope of Authority section above.
Business & Revenue Performance
•Own the Personal Training department’s revenue performance and contribute directly to the profitability of the assigned location.
•Drive achievement of monthly, quarterly, and annual Personal Training revenue objectives established by the Company.
•Establish performance goals for the department and for individual team members.
•Train staff on sales techniques to improve conversion rates, generate referrals, and manage prospecting processes.
•Drive achievement of CrunchONE Kickoff attachment, completion, and conversion targets, and support client lifespan objectives.
•Personally service qualifying Personal Training sessions and maintain an active personal client base.
•Support local marketing initiatives that promote trainers, create member engagement through events, and support content for Company-approved social media platforms.
Payroll, Employment & Qualification Compliance
•Ensure Form I-9 documentation, tax documentation, and required work credentials are accurately completed and maintained on file for every team member at the assigned location.
•Ensure all hours worked by team members are accurately logged, recorded, and properly compensated in accordance with Company policy and applicable federal, state, and local wage-and-hour law.
•Ensure department payroll is completed accurately and on time, and that required payroll compliance reviews are completed.
•Manage Personal Training staffing schedules, including maintaining labor costs within assigned Personal Training margins.
•Ensure all team members maintain required certifications and qualifications, including current CPR and AED certification and applicable NASM or other Company-approved professional certifications, and that credentials are properly tracked in Company systems (e.g., ClubConnect).
•Ensure all team members complete required onboarding through Company-designated platforms (e.g., MindTickle, ClubConnect, or other Company-approved onboarding and course systems).
Technology, Data & Systems
•Ensure Company-designated platforms, including ClubConnect and NASM, are properly maintained and utilized at the assigned location.
•Ensure data security, system access, and required audits are completed in accordance with Company policy.
•Utilize Company technology and reporting systems, including dashboards such as Power BI, to monitor performance, identify at-risk clients, and support business decisions.
Client Experience & Retention
•Coach Personal Trainers to ensure clients receive professional, results-driven training, and uphold staff quality and training standards at the location.
•Regularly train staff on industry updates and support consistent development of the training team to effectively manage sales and service execution.
•Ensure members receive proper documentation, including client folders and accurately logged program and meal-plan records, in accordance with Company standards.
•Proactively identify and manage at-risk clients using Company dashboards and reporting tools, and support achievement of client retention and lifespan targets.
•Ensure clients receive scheduled monthly results reviews and ongoing accountability consistent with Company standards.
Financial Integrity & Loss Prevention
•Ensure collections are processed accurately and that client payment types and billing practices comply with Company policy, including ensuring payment methods (such as ACH) are applied only as authorized by the client and Company policy.
•Prevent, identify, and promptly report suspected falsification of Company records, employee theft, or other loss-prevention (LP) concerns in accordance with Company policy, escalating matters as described in the Business Ownership & Scope of Authority section above.
Retail Performance
•Drive retail and supplementation sales performance (e.g., dotFIT, PES/PE Science, or other Company-approved retail programs) in accordance with Company-established retail targets.
