Job description

The Seasonal Scanning Assistant is primarily responsible for supporting the accounting team with a temporary document scanning and filing project. This role helps organize, prepare, scan, and accurately save records while maintaining confidentiality and attention to detail.

  • Prepare paper files for scanning by sorting, organizing, removing staples, and ensuring documents are ready for processing.
  • Scan documents into designated systems or folders and verify scanned images are legible, complete, and correctly saved.
  • Label, index, and organize electronic files according to established naming conventions and department instructions.
  • Handle confidential accounting records with care and always maintain file security and privacy.
  • Maintain an organized workspace and follow department procedures for document handling and retention.
  • Other duties as assigned by management.

Required education and experience
  • Current high school students or recent high school graduate.
  • Strong attention to detail and ability to perform repetitive tasks accurately.
  • Basic computer skills, including the ability to learn scanning equipment and file-saving procedures.
  • Ability to work independently, follow instructions, and manage time effectively.
  • Ability to handle confidential information with professionalism and discretion.
Preferred education and experience
  • Previous office, clerical, filing, or scanning experience.
  • Experience using scanners, copiers, or multifunction office equipment.
  • Interest in accounting, business, or administrative work.
