Full Time, Hybrid, Orlando, FL (3 days in office M/T/Th and 2 days remote)

The Kind of Work You'll be Doing:

  • Serve as the primary Administrative Assistant to the Digital Strategies (DS) Director while providing administrative, organizational, operational, and workflow support to the broader DS department.
  • Manage calendars, email correspondence, scheduling, meeting preparation, agendas, notes, action items, and follow up communication for DS leadership and department initiatives.
  • Draft, proofread, format, and distribute department communications, reports, presentations, meeting documentation, and other administrative materials using approved productivity and AI assisted tools where appropriate.
  • Utilize approved AI tools and emerging technologies to support administrative efficiency, workflow organization, communication development, meeting summarization, reporting, action item tracking, and process improvement.
  • Maintain responsible AI practices by reviewing AI-generated content for accuracy, tone, confidentiality, quality, and alignment with JFP/Cru standards and approved usage guidelines.
  • Develop, improve, and maintain administrative systems, workflows, documentation practices, and operational processes that support departmental effectiveness, scalability, and organizational alignment.
  • Coordinate and support departmental projects by tracking timelines, tasks, assignments, contracts, SPQs, invoices, renewals, budgets, and related documentation through approved systems and project management tools.
  • Process invoices, assist with financial documentation and reimbursements, maintain accurate records, and coordinate with Finance, Operations, and other departments to ensure timely and accurate administrative support.
  • Oversee and support departmental technology, communication, and collaboration platforms including Google Workspace, Slack, Asana, Canva, AI productivity tools, and related systems; provide basic staff training and troubleshooting as needed.
  • Plan and coordinate meetings, retreats, conferences, trainings, team gatherings, travel arrangements, and other department events, ensuring effective communication and smooth logistical execution.
  • Serve as a primary point of contact for internal and external communication by responding to inquiries, supporting ministry guests, facilitating communication across teams and stakeholders, and handling sensitive information with professionalism, discretion, and sound judgment.

Associate Degree in Business Administration, Communications, Operations, Project Management, Ministry Leadership, or a related field (preferred).

1 year minimum experience (or equivalent combination of education and experience).
