PROJECT ADMINISTRATOR

Location: Eden Prairie, MN | Hybrid
Schedule: Full-Time
Salary: $55,000 - $65,000 (based on experience)

EVS is seeking a detail-oriented and motivated Project Administrator to support project administration, billing, and accounts receivable activities across the organization. This is an excellent opportunity for someone looking to build a career in project operations, finance, and client support while gaining exposure to engineering and consulting projects.

In this role, you'll work closely with Project Managers, Finance, and Senior Project Administrators to ensure projects are set up accurately, invoices are processed on time, and client accounts remain organized and up to date.

WHAT YOU'LL DO

  • Assist with project setup in Deltek Vantagepoint, ensuring accurate project information and financial tracking.
  • Support contract administration activities, including tracking change orders, contract updates, and approvals.
  • Build relationships with client accounting teams to support invoices and resolve billing discrepancies.
  • Review project timesheet entries and identify potential issues for correction.
  • Support internal project administration meetings and maintain accurate project records.
  • Track billing deadlines and coordinate with Project Managers to collect billing information.
  • Prepare and submit invoices accurately and on time.
  • Assist with Work in Progress (WIP) reviews and billing adjustments as needed.
  • Participate in accounts receivable reviews and monitor outstanding invoices.
  • Follow up with clients regarding overdue invoices and provide supporting documentation when requested.
  • Support subconsultant onboarding activities and documentation collection.
  • Assist with compliance-related administrative tasks, registrations, and renewals.
  • Maintain organized project documentation and financial records.
  • Provide administrative support to project teams while helping improve processes and workflows.

WHAT YOU'LL BRING

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to learn financial systems, project management software, and client platforms quickly.
  • Strong problem-solving skills with the ability to research issues independently.
  • Professionalism and discretion when handling confidential financial information.
  • Experience with Deltek Vantagepoint, project administration, billing, accounting, or accounts receivable is a plus.
