Relocation Specialist - Corporate Listings/Inventory CB Realty Leads

Schedule: Monday-Friday within 8:00 a.m.-8:00 p.m. Candidates will work an 8-hour shift plus a 1-hour unpaid lunch.

Location : Remote

Our process includes a HireVue assessment for all applicants for this requisition. Our recruiting team reviews each submission, and selected candidates will have the chance to meet with a member of the team.

Job Overview: The Corporate Relocation Listings Specialist on the CB Realty Leads operations team acts as a liaison between a designated team of real estate agents and various clients/partners who entrust us with their referral business. This role is managing and delivering effective communication to all parties throughout the life of the referral; and is critical in converting leads and ensuring the highest level of service is delivered to our clients and partners.

Key Responsibilities include, but are not limited to:

  • Transaction management:
  • Referral Management: Receive and review incoming referrals to understand all instructions and client needs to ensure a successful referral match.
  • Agent Assignment: Assign the most qualified agent to assist customers in successfully completing their real estate transactions.
  • Data Entry: Complete any necessary entry related to the referral.
  • Referral Agreement: Release referral agreements to agents for acceptance and confirm acceptance with clients.
  • Accuracy and Timeliness: Ensures agent reporting is fully inclusive and submitted on client directed forms in accordance with SLAs.
  • Facilitation of property management: Includes coordination of utility and property maintenance transfer, billing and reimbursement on applicable properties in conjunction with the Accounting group.
  • Communication: Maintain regular communication with agents to obtain initial and critical milestone updates, sharing appropriate feedback with the referral source.
  • Monitoring/Follow up: Monitor all communications from agents and clients, manage information accordingly, and follow up on open or overdue items.
  • Issue Resolution: Address any signs of concern by reaching out to resolve issues or take corrective action.
  • Contract Management: Obtain, review, and share contract information with referral source.
  • Closing Coordination: Ensure all closing-related information is shared with all parties.
  • Data Integrity: Maintain data integrity in all systems.
  • Reporting: Run reports to ensure timely updates are received and delivered to all parties.

Requirements:

  • High School Diploma or equivalent.
  • Two or more years of experience in a customer-centric business environment with administrative responsibilities.
  • One or more years of experience in the relocation or real estate industry (preferred).
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent data entry skills with strong attention to detail.
  • Ability to work well under pressure with excellent organizational skills.
  • Strong interpersonal skills to interact successfully with internal and external customers at all levels.
  • Flexibility to work shifts accommodating clients in various time zones and weekends as required.
  • Professional verbal and written communication skills.
  • Creative problem-solving abilities.
