What the Conference and Events Coordinator does at Worldwide
The Conference and Events Coordinator is responsible for supporting the planning, coordination, and execution of global conferences and events in alignment with Worldwide's marketing and business objectives. This role focuses on operational excellence, logistical coordination, and cross-functional collaboration to ensure seamless event execution before, during, and after conferences.
The Conference and Events Coordinator partners with Conference Leads, Marketing, Sales Development, and Therapeutic Area teams to deliver high-quality events that support client engagement, brand presence, and commercial outcomes.
What you will do
  • Coordinate logistics for conferences and events, including registrations, hotel reservations, exhibition space logistics, materials management, giveaways, transport, and occasional onsite support.
  • Support planning and execution of client events held in conjunction with conferences.
  • Assist with scheduling and coordination of conference planning meetings, interim check-ins, and post-event debrief sessions.
  • Maintain conference coordination checklists, timelines, and task trackers to ensure accurate and timely delivery of event activities.
  • Support setup and management of event collaboration spaces (e.g., Microsoft Teams channels).
  • Coordinate exhibition and event materials, including booth assets, furniture, signage, roll-ups, and related logistics.

What you will bring to the role
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and comfort working with structured processes, templates, and checklists.
  • Effective written and verbal communication skills.
  • Ability to collaborate effectively across multiple teams and stakeholders.

Your experience
  • Bachelor's degree in Marketing, Communications, Business Administration, or a related field .
  • Minimum 2 years of experience coordinating events, conferences, or large meetings in a corporate, agency, or professional services environment, with healthcare/life sciences preferred.
  • Prior experience coordinating with vendors
