Protocol Specialist/Conference Coordinator
Job Summary
Accomplished Protocol Specialist/Conference Coordinator with extensive experience coordinating executive-level government, diplomatic, and international programs. Proven expertise in managing high-profile visits, official ceremonies, conferences, and engagements involving senior government officials, foreign dignitaries, ambassadors, and executive leadership. Skilled in diplomatic protocol, strategic communications, stakeholder relations, and complex logistical coordination while maintaining the highest standards of discretion, professionalism, and cultural sensitivity.
U.S. Citizenship required. National Capital Region (NCR) or Houston, TX locations preferred.
Key Responsibilities
  • Coordinate official visits and engagements involving senior government officials, foreign dignitaries, ambassadors, consular representatives, and executive leadership.
  • Develop and manage detailed itineraries for international delegations, ensuring adherence to established diplomatic and governmental protocol standards.
  • Draft and manage formal correspondence, invitations, briefing materials, speeches, and communications for executive leadership and distinguished guests.
  • Plan and execute high-profile conferences, diplomatic events, official ceremonies, and international meetings involving diverse stakeholders.
  • Serve as primary liaison among government agencies, international partners, academic institutions, and private-sector organizations.
  • Coordinate complex travel, security, transportation, accommodations, and logistical arrangements for official visitors and delegations.
  • Advise leadership on matters of protocol, cultural etiquette, and diplomatic engagement.
  • Build and maintain relationships with domestic and international partners to support organizational and strategic objectives.
  • Participate in Business Development activities and contribute to proposals associated with these services.

Required Qualifications
  • U.S. Citizenship
  • Bachelor's degree in International Relations, Public Relations, or Hospitality, or related field
  • Minimum 3 years of experience in a similar role
  • Strong written and verbal communication skills, including experience preparing briefs for government stakeholders
  • Ability to manage multiple projects simultaneously
  • Self-motivated with strong attention to detail

Preferred Qualifications
  • Experience with Department of State, U.S. Trade Development Agency, Department of Energy, Department of Defense international programs.
