Position Summary of the Administrative/Registration Assistant:

The Administrative/Registration Assistant plays a vital role in supporting prospective and current students, ensuring smooth enrollment processes, and maintaining efficient office operations. This position requires excellent communication skills, attention to detail, and the ability to manage multiple administrative tasks in a dynamic educational environment.

Responsibilities of the Administrative/Registration Assistant:

  • Front Desk & Visitor Services
    • Greet on-campus visitors and students, provide information, and direct them to appropriate locations or personnel.
    • Answer institute phone lines, provide requested information, and transfer calls or messages to appropriate associates.
    • Return all communications (phone calls, emails, texts) promptly during regular business hours.
    • Utilize outreach methods such as outbound calls, emails, and text messaging to provide proactive guidance and support to students.
    • Open and close the building as assigned.
  • Student Support & Enrollment Coordination

    • Identify studentsโ€™ needs and assist with in-person registration process, and scheduling for upcoming programs and classes.
    • Oversee student registration eligibility and enrollment into training programs.
    • Receive and process enrollment paperwork, eligibility documentation, and clinical clearance forms.
    • Review registration packets for completeness and accuracy; clear students for registration.
    • Request and monitor required documentation and payments; input and file all necessary records in the student information system.
    • Email Zoom links and instructions for scheduled classes.
    • Receive, process, and record student payments.
    • Prepare student supply totes for the start of each program.
  • Administrative & Office Support

    • Use office equipment, computers, and software applications to perform work assignments.
    • Copy, input, and file paperwork including student communications, payment records, and other required documents.
    • Print and distribute class materials as assigned.
    • Follow up on student absences and schedule make-up classes when needed.
  • Financial & Supply Management

    • Assist in ordering, receiving, stocking, and distributing supplies for office, classrooms/labs, and staff/student areas.
    • Run errands to the post office, bank, or vendors as assigned.
    • Other duties as assigned.

Requirements of the Administrative/Registration Assistant:

  • High school diploma or equivalent; post-secondary education, preferred.
  • Experience in administrative support or student services in an educational setting is a plus.
  • Proficiency in Microsoft Office Suite and student information systems.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Customer service-oriented with a professional demeanor.
