The Quoting Specialist is responsible for preparing accurate, timely, and competitive customer quotes by building bills of materials and supporting pricing execution for assigned sales territories or customer segments. This role serves as the primary quoting contact for Sales and collaborates closely with internal crossfunctional partners to ensure quotes align with customer needs, product requirements, and established pricing strategies.

The Quoting Specialist is a handson, executionfocused role that follows defined processes and standards, with technical guidance and workflow support provided by the Quoting Team Lead.

Key Responsibilities

Quote Preparation & Execution

  • Prepare customer quotes and project estimates by reviewing requests for proposals (RFPs), project plans, and individual quote requests.

  • Build and review bills of materials (BOMs) to determine appropriate products, quantities, and configurations.

  • Produce, revise, and distribute quotes for assigned sales territories or customers within required turnaround times.

  • Modify existing quotes to reflect quantity changes, product substitutions, or customer revisions.

  • Ensure product numbers, configurations, and pricing in Salesforce accurately reflect approved quoting strategies.

Sales & Customer Support

  • Serve as the primary quoting contact for assigned field sales representatives.

  • Collaborate daily with Sales via phone, email, and Salesforce to clarify scope, timing, and quoting requirements.

  • Build strong working relationships with sales partners and develop an understanding of territory dynamics, customers, competition, and pricing expectations.

  • Manage and maintain Salesforce contact records for assigned sales representatives.

CrossFunctional Collaboration

  • Partner with Operations, Engineering, Finance, Contracts, Quality, Purchasing, and Manufacturing to obtain accurate product, cost, and pricing information.

  • Review existing quotations to validate pricing accuracy and compliance with current agreements and guidelines.

  • Escalate complex, nonstandard, or highrisk quoting scenarios to the Quoting Team Lead as appropriate.

Systems, Data & Quality

  • Prepare and maintain all quotes, projects, and supporting documentation within Salesforce.

  • Ensure data integrity, accuracy, and completeness across quoting records.

  • Follow established quoting processes, approval paths, and documentation standards.

  • Maintain confidentiality of all company, customer, and pricing information.

Continuous Improvement & Team Support

  • Follow standard work and quoting best practices established by the Quoting Team Lead and Manager.

  • Identify recurring issues or inefficiencies and raise improvement opportunities to the Team Lead.

  • Support onboarding and training of new quoting team members as requested.

  • Adhere to company policies, compliance requirements, and core values.

Required Qualifications

  • Degree in Business, Technical Program, Operations, or related field or equivalent experience.

  • Prior experience in quoting, estimating, pricing, sales support, or a related role.

  • Proficiency in CRM systems, preferably Salesforce.

  • Strong Microsoft Excel skills.

  • Excellent organizational, timemanagement, and communication skills.

  • Ability to manage multiple quotes and deadlines in a fastpaced environment.

  • Strong attention to detail and data accuracy.

Preferred Qualifications

  • Experience in manufacturing, healthcare products, or regulated environments.

  • Familiarity with bills of materials and product configuration concepts.

  • Experience supporting field sales organizations.

Quoting Specialist Expectations

  • Executes quoting tasks independently within established guidelines

  • Owns accuracy and completeness of assigned quotes

  • Escalates exceptions and complex scenarios appropriately

  • Partners effectively with Sales and crossfunctional teams

  • Builds technical knowledge in preparation for future Team Lead responsibilities
