We are seeking an organized, proactive, and highly professional Administrative Assistant to support senior managers and oversee daily office operations. This role requires exceptional attention to detail, solid calendar and event management capabilities, and the discretion to handle confidential personnel and financial information.

QualificationsRequired Qualifications
  • Education: High school diploma or equivalent.

  • Experience: 2–5+ years of experience in administrative roles supporting senior management.

  • Technical Skills:

    • Proficiency in Microsoft Office / Google Suite (Word, Excel, PowerPoint, Outlook).

    • Working knowledge of Oracle (Purchasing, Vista Plus) and accounting systems.

    • Minimum typing speed of 60 wpm (shorthand skills preferred).

  • Core Competencies:

  • Manage executive calendars, schedule meetings, and organize events.

  • Arrange domestic/international travel, flights, hotels, cars, and itineraries.

  • Process passports, international visas, and visitor travel logistics.

Office Operations

  • Oversee daily administrative duties: mail, phone, supply stock, and filings.

  • Coordinate office space moves, allocations, and employee relocations.

  • Review emails, draft routine correspondence, and serve as key contact.

Financial & Procurement

  • Process POs, requisitions, and ACEs; onboard vendors in Oracle.

  • Review expense reports and purchasing cards for policy adherence.

  • Prepare monthly expense reports and track costs via Vista Plus/Oracle GL.

  • Support department budget analysis and expense tracking.

HR & Confidential Support

  • Process sensitive personnel paperwork (pay increases, hires, terminations).

  • Maintain strict confidentiality on all organizational and staff matters.

  • Exercise independent judgment using company policy and structure.

️ Safety & Environment

  • Promote workplace safety; schedule and attend monthly safety meetings.

  • Enforce safety protocols and maintain office housekeeping standards.
