Position Summary

This position will be responsible for supporting our business development efforts by coordinating and managing the creation of compelling proposals, presentations, and other marketing materials. Under the direction of the Manager, Marketing Proposals, the Marketing Proposal Coordinator will participate in the proposal process, including proposal strategy planning, content development, internal review, production, submittal, and performance analysis that support project pursuit efforts consistent with Kraus-Anderson’s (KA) strategic plan and goals. This position will work closely with cross-functional teams such as business development managers, director of operations, project managers, technical specialists, and other team members to prepare responsive, engaging proposal responses that align with Kraus-Anderson’s strategic objectives and client requirements.

Hourly Range: $28.00 to $36.00 per hour, plus discretionary incentive program.

While the range listed represents the anticipated hiring range for this position, offers at the upper end of the range are uncommon. Pay is based on many factors including but not limited to education, skill, experience, training, certifications, and other business needs.

Essential Duties and Responsibilities:

  • Review the Request for Proposal (RFP) and bid/qualifications request documents so that the team clearly understands client requirements.
  • Collaborate with the team to understand project requirements, client needs, and proposal objectives.
  • Attends client pre-proposal walk-through/meetings, as needed.
  • Coordinate and manage the end-to-end proposal development process, including organizing kickoff meetings, establishing timelines, and assigning tasks to team members through calendar management.
  • Conduct research, run CRM reports, and gather information to support proposal content, such as project experience, team resumes, case studies, statistical information, and client testimonials.
  • Write and edit proposal content to ensure clarity, consistency, and compliance with RFP (Request for Proposal) guidelines.
  • Create visually appealing and professional presentations and graphics to enhance proposal and interview documents.
  • Review and proofread proposals and interview documents to ensure accuracy, quality, and adherence to brand standards.
  • Maintain proposal templates, content libraries, and other marketing collateral to support ongoing business development efforts.
  • Coordinate with external partners as needed to gather information and incorporate their contributions into proposals.
  • Work well with technical and non-technical team personnel to gather data and write compliant, compelling proposals and interview content.
  • Coordinate and ensure follow through on the entire proposal life cycle, ensuring readability, consistency, clarity, and compliance with requirements.
  • Engage in interview preparation, coaching, and producing presentations and supporting materials.
  • Engage in post-proposal debriefing analysis with the team.
  • Support other marketing initiatives and projects as assigned by the Manager, Marketing Proposals.
  • Other duties as assigned.

Required Knowledge, Skills, and Abilities:

  • Experience in the full life cycle of proposal coordination, marketing, and related roles, preferably within the construction industry.
  • Excellent written and verbal communication skills, with a keen eye for detail and accuracy and the ability to effectively communicate with internal and external customers.
  • Demonstrated computer proficiency (MS Office 365 - Word, Excel, PowerPoint, Outlook) and Adobe Creative Suite (InDesign, Photoshop, Illustrator) or similar software. Proven experience with Graphics including design, layout, text formatting, image formatting, and knowledge of graphics software (e.g., Illustrator, Photoshop)
  • Knowledge of proposal best practices, RFP processes, and proposal management tools is a plus.
  • Ability to collaborate effectively with cross-functional teams and build positive working relationships.
  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Meticulous attention to detail and consistency in work product.
  • Basic understanding of industry terminology and procedures.
  • Ability to use time productively, maximize efficiency, and meet challenging work goals.
  • Ability to maintain compliance with all company policies and procedures.
  • Ability to possess and maintain exceptional work ethic, as well as uphold company values and demand the highest standard of conduct from self and others.

Preferred Knowledge, Skills, and Abilities:

  • Bachelor's Degree in Marketing, Communications, Business, Journalism, or English or related field
  • 2+ years of experience in a proposal-based marketing setting, A/E/C industry experience highly desired or equivalent combination of education and experience.
  • Technical writing background.
  • Understanding of the construction industry and terminology a plus
  • Experience with Unanet (Cosential) or similar Customer Relationship Manager (CRM) software.
  • Experience with Open Asset.
