Job description

Flooring Concepts is a leading flooring company looking for an organized and detail-oriented Project Administrator to join our team in West Palm Beach (Okeechobee Blvd & Jog Road area).


If you thrive in a fast-paced environment and have a passion for keeping projects on track, this role is for you. You will be the organizational backbone for our Project Management team, ensuring smooth communication and efficient execution of project tasks.


Key Responsibilities

  • Project Coordination: Coordinate and track project installation schedules, ensuring deadlines are met and communicating updates to relevant parties.
  • Material & Procurement Support: Work closely with the Project Manager on estimating and purchasing processes. This includes tracking and coordinating material delivery.
  • Documentation & Organization: Maintain comprehensive and accurate project documentation, utilizing MS Office tools (primarily Excel and Word).
  • Submittals Management: Process, order, and distribute project submittals in a timely and accurate manner.
  • Communication Hub: Serve as the primary point of contact for incoming calls, professionally communicating with clients, vendors, and internal team members.
  • General Administration: Provide high-level administrative support to the Project Manager and office team.


Skills & Qualifications

  • Proven ability to manage multiple tasks and competing priorities in an organized fashion (strong multitasking skills are a must).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with project scheduling software is a plus.
  • Excellent written and verbal communication skills.
  • A proactive, problem-solving mindset and a high degree of accuracy and attention to detail.
  • Previous administrative, construction, or flooring industry experience is a bonus.
