Description
The Project Assistant will support the Sexual Assault Nurse Examiners (SANE) program by providing a broad range of administrative assistance and coordination.
ANE/SANE Program
The University of New England's Advanced Nursing Education-Sexual Assault Nurse Examiner (ANE-SANE) Program is a federally funded initiative that expands Maine's Sexual Assault Forensic Examiner (SAFE) workforce through advanced training, simulation-based education, and trauma-informed clinical preparation. The program strengthens statewide capacity to provide compassionate, evidence-based forensic care to survivors of sexual violence.

Responsibilities
  • Perform regular administrative duties for the project/department: answer phones and serve as department receptionist; type/print correspondences, reports, manuals, and the like; order materials and supplies; maintain appointment calendars; set up meetings; photocopy; and the like.
  • Organize and maintain various project files and records, frequently involving cross filing/cross-reference systems.
  • Compile, order and oversee distribution and inventory of curricula printing and SANE documents
  • Process specific curricula reporting paperwork and prepare for local partner.
  • Perform basic liaison functions with, faculty, staff, contract evaluators, or other department/program constituency routing to senior staff members as appropriate.
  • Assist in the creation of meeting agendas and meeting document packets.
  • Create and design materials as necessary.
  • Attend a variety of regularly scheduled meetings, including quarterly meetings in Augusta; take meeting minutes; electronically disseminate minutes.
  • Coordinate logistics for training events.
  • Compile a variety of information from both manual and computerized records including the use of Access database
  • Prepare/coordinate bulk or other special departmental mailings utilizing mail merge.
  • Edit project reports for spelling, grammar, formatting, etc.
  • Compile comprehensive end-of-year reports; assemble copies of reports; disseminate reports electronically and in hardcopy.
  • Register participants for various trainings/meetings and arrange travel and accommodations.
  • Confer regularly with immediate supervisor, other department/University personnel, and/or various firms/organizations/individuals outside the University to plan and coordinate activities, exchange information, resolve problems, etc.
  • Understand and comply with the University of New England Safety Manual.
  • Perform other related duties as assigned.
  • Travel to out of town trainings 2-3 times annually.

Qualifications
Associate's degree in business or other appropriate discipline, plus two to three years of relevant clerical and administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Strong computer skills and proficient in Microsoft Excel and Microsoft Word required.
  • Strong administrative and organizational skills. Experience in organizing and maintaining moderately complex filing and records systems.
    Familiarity with Access database entry a plus
  • Good reading, spelling/grammar and general writing and math skills. Familiarity with bookkeeping/accounting training or experience desirable.
  • Ability to deal effectively with a wide variety of University personnel, students, and/or outside individuals/organizations.
  • Previous UNE experience desirable.
