Description
The Project Assistant provides administrative and operational support to the Rural Health Transformation Program Nutrition Education Program (RHTP NEP). This role assists with coordinating program activities, communications, materials, meetings, and logistics to support successful implementation of grant-funded initiatives. Working under the direction of the Project Director, the Project Assistant supports internal staff, statewide subrecipients, and external partners to help ensure timely progress on program deliverables and compliance with grant requirements.

Responsibilities
  • Coordinate day-to-day administrative and operational activities supporting the RHTP NEP to ensure timely progress on grant deliverables.
  • Support implementation of grant activities by coordinating with internal UNE staff, statewide subrecipients, and external partners, escalating issues to senior staff as appropriate.
  • Manage inventory, ordering, and distribution of curricula, printed materials, and Nutrition Education Reinforcement Items (NERI), maintaining accurate tracking records.
  • Coordinate logistics for statewide trainings, meetings, and events, including preparation and execution of in-person, virtual, and hybrid formats.
  • Prepare meeting agendas, assemble meeting materials, attend meetings, and record and distribute accurate meeting minutes.
  • Draft, edit, and format routine program communications, reports, manuals, and newsletters using established templates and guidance.
  • Assist with creation and maintenance of program materials, including program web content and visual resources, following branding and accessibility standards.
  • Compile, organize, and retrieve program data and documentation from digital systems in response to routine and special requests.
  • Arrange travel and accommodations for program staff and partners in accordance with University policies and grant requirements.
  • Assist the program team in tracking deadlines and documentation related to federal grant requirements to support compliance.
  • Maintain adherence to University of New England policies, procedures, and safety requirements.
  • Travel to out-of-town trainings or meetings up to 2-3 times per year.
  • Perform other related duties consistent with the level and scope of the position as assigned.

Qualifications
  • Bachelor's degree required.
  • Demonstrated ability to manage multiple tasks and meet established deadlines in a deadline-driven environment.
  • Demonstrated proficiency in Microsoft Word and Excel, including the ability to format documents and manage basic spreadsheets.
  • Demonstrated written and verbal communication skills sufficient to prepare routine reports, correspondence, and meeting documentation.
  • Demonstrated organizational skills, including maintaining records, tracking materials, and coordinating logistics.
  • Demonstrated ability to work collaboratively with faculty, staff, external partners, and community organizations.
  • Valid driver's license and ability to travel independently to off-site meetings or trainings.

Preferred Qualifications
  • Experience supporting grant-funded programs or projects.
  • Demonstrated basic graphic design or visual content development skills.
  • Experience working with community-based organizations, public agencies, or health-related programs.
