Job description

Position Summary

Experlogix is seeking a highly organized, process-oriented, and collaborative Program Operations Manager to support our Product and Engineering organization. This role will partner closely with Product Managers, Product Owners, Engineering Managers, UX, and leadership teams to improve planning quality, delivery predictability, cross-functional coordination, and operational excellence across multiple product lines.

The Program Operations Manager serves as the operational backbone of the Product & Engineering organization by facilitating planning activities, improving backlog readiness, managing delivery cadences, tracking dependencies, maintaining KPI reporting, and ensuring teams have the structure and information necessary to execute effectively.

This is not a traditional project management role. Success in this position requires strong facilitation skills, experience operating within Agile environments, the ability to influence without direct authority, and a passion for creating scalable processes that improve execution across teams.

Key Responsibilities


Delivery Governance & Program Coordination

  • Partner with Product, Engineering, UX, and leadership teams to improve planning effectiveness and delivery predictability.
  • Facilitate and coordinate key planning activities, including backlog readiness reviews, dependency management sessions, release planning, and PI Planning events.
  • Track cross-team dependencies, risks, blockers, and action items to ensure timely resolution.
  • Maintain visibility into work across multiple teams and communicate status, risks, and progress to stakeholders.
  • Ensure commitments, decisions, and follow-up actions are documented and tracked through completion.


Planning Readiness & Backlog Quality

  • Support Product Managers and Product Owners in preparing work for planning activities.
  • Ensure stories, features, and initiatives meet established Definition of Ready standards.
  • Validate that acceptance criteria are clear, measurable, and testable.
  • Confirm appropriate UX engagement for initiatives involving user interface changes.
  • Facilitate readiness reviews and identify work requiring refinement before planning commitments are made.


Agile Program Operations

  • Support execution of Agile and scaled planning practices across multiple product lines.
  • Coordinate planning logistics, meeting facilitation, schedules, and communication.
  • Improve consistency of operating cadences and planning processes across teams.
  • Assist with continuous improvement initiatives designed to enhance team effectiveness and delivery outcomes.
  • Identify opportunities to streamline workflows and reduce operational friction.


Metrics, Reporting & Data Quality

  • Maintain delivery dashboards and KPI reporting using Jira and related tooling.
  • Monitor key performance indicators including:
    • Delivery Predictability
    • Throughput
    • Lead Time for Changes
    • Dependency Aging
    • Unplanned Work
    • Flow Metrics
  • Partner with Engineering Managers and Product leaders to improve data quality and reporting accuracy.
  • Identify trends and provide actionable insights to leadership teams.


Meeting Facilitation & Operational Excellence

  • Establish and maintain meeting standards including agendas, action items, decision logs, and ownership tracking.
  • Evaluate recurring meetings and recommend improvements to maximize efficiency and value.
  • Facilitate productive discussions while ensuring appropriate stakeholders are engaged.
  • Redirect off-topic discussions and help teams resolve process-related obstacles.


Process Improvement & Automation

  • Assist with implementation of workflow improvements and operational standards.
  • Support automation initiatives and AI-assisted workflow enhancements.
  • Document operating procedures, templates, governance models, and best practices.
  • Promote consistency and scalability across Product and Engineering organizations.


Required Qualifications

  • 3+ years of experience in Program Management, Technical Program Management, Agile Delivery Management,, Product Operations, or similar operational leadership roles.
  • Experience supporting software development organizations utilizing Agile methodologies.
  • Strong understanding of Kanban, SAFe, or other Agile frameworks.
  • Experience facilitating planning sessions, backlog refinement, release planning, or PI Planning activities.
  • Demonstrated ability to manage cross-functional initiatives involving Product, Engineering, UX, and business stakeholders.
  • Exceptional organizational, facilitation, and communication skills.
  • Experience with Jira and Agile planning tools.
  • Ability to influence stakeholders without direct management authority.
  • Strong analytical and problem-solving capabilities.
  • Experience creating reports, dashboards, and operational metrics.
  • Professionally fluent in English and French


Preferred Qualifications

  • Experience in SaaS, enterprise software, ERP, CRM, CPQ, or related technology environments.
  • SAFe certification (SA, SPC, RTE, POPM, or equivalent).
  • Experience with Jira Software, Jira Service Management, Confluence, and Appfire Flow.
  • Experience supporting multiple development teams within a scaled Agile environment.
  • Familiarity with Product Operations or PMO functions.
  • Experience implementing process improvements across engineering organizations.
  • Experience working with AI-assisted productivity or workflow automation initiatives.
