Job description

Description

We are seeking a Program Coordinator to support a large facility maintenance program management team.  This highly organized and detail-oriented candidate will oversee the management, coordination, and execution of facility-related programs within a federal facility. They will ensure that all facility projects comply with government regulations, contractual obligations, and operational standards.  The ideal candidate will have experience in facility management, project administration, and government compliance protocols. Strong administrative skills, the ability to collaborate with multiple stakeholders, and a deep understanding of facility management best practices are essential for success in this role.

 Primary Responsibilities:

  • Develop, implement, and manage facility maintenance, renovation, and operational programs to meet government objectives.
  • Monitor project timelines, budget compliance, and adherence to regulatory standards.
  • Ensure all facility programs comply with federal, state, and local government regulations (such as OSHA, ADA, and environmental standards).
  • Conduct periodic audits and inspections to assess facility safety, security, and operational efficiency.
  • Develop and maintain accurate records of facility operations, maintenance schedules, and project reports.
  • Prepare detailed reports and briefings for senior government officials and stakeholders.
  • Maintain documentation related to contracts, permits, inspections, and compliance certifications, to include service contracts.
  • Assist in the development and management of program budgets for facility maintenance and improvement projects.
  • Track expenditures and ensure funds are allocated efficiently to meet program goals.
  • Identify opportunities for cost optimization while maintaining high service standards.
  • Serve as the primary point of contact for internal departments, contractors, and external regulatory agencies.
  • Facilitate regular meetings with government stakeholders to discuss program progress, challenges, and milestones.
  • Respond to inquiries and provide timely updates on program developments and facility operations.
  • Generate reports as needed for the customer
  • Develop emergency response protocols and support incident management as needed.
  • Oversee preventive maintenance schedules, facility inspections, and equipment servicing.
  • Coordinate with facility managers to ensure that all systems (HVAC, electrical, plumbing, etc.) function optimally.

Basic Qualifications

  • TS/SCI w/ Poly Clearance is required
  • Expert proficiency with SAP as User and trainer.
  • Duties may include calendar and inbox management for department or managers, ordering supplies, coordinating travel arrangements and expense report submission.
  • Gathers, collects, records, tracks and verifies information from multiple sources.
  • Work performed at a higher level may include evaluating information gathered and developing recommendations. May perform as a generalist in a combination of administrative tasks for a function, line or specific program.
  • Responsible for leading some operations within an area that has significant impact on results for the job family. Responsible for assisting and training lower level support employees.
  • Resolves unclear problems and issues faced, which may require understanding of broader set of issues. Problems may span a range of issues or areas. Problems are typically solved through drawing from prior experiences, with analysis of the issue.
  • Communicates with contacts typically within and outside the family on matters to obtain or provide information on matters of significant importance to the job family.
  • Has a comprehensive understanding of all aspects of the job and their practical application to complex problems and situations ordinarily encountered. Requires extensive knowledge in specialized functions.
  • Requires high school diploma and 12+ years of prior relevant experience.

Preferred Qualifications

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and project management software such as MS Project, Asana, or Trello.
  • Familiarity with building management systems (BMS), asset management software, and facility maintenance platforms.
  • knowledge of government regulations, procurement policies, and facility safety standards.
  • Certification in Facilities Management (CFM, FMP, or PMP).
  • Experience working with government contracts, GSA regulations, and procurement processes.
  • Knowledge of Federal Acquisition Regulations (FAR) and government property management protocols.
