Program Coordinator – Pakistan

MAIN DUTIES AND RESPONSIBILITIES:

The Program Coordinator is responsible for the planning, execution, support, and follow-up of Operation Smile’s medical programs in Pakistan.  This requires the ability to balance several projects at once. The Program Coordinator reports directly to the Regional Director and works closely with other OSI program coordinators towards achieving these goals. The Program Coordinator is responsible for all activities pertaining to Operation Smile surgical and non-surgical programs in Pakistan, including care delivery through the Hub and Spoke model.

Fact Finds / Strategic Plan for Programs:

  • Plan execute/lead Surgical Programs within Pakistan (fact find, patient recruitment, NGO partnerships, hospital relationship building, program execution, etc.).
  • Plan execute/lead Hub and Spoke activities within Pakistan (fact find, patient recruitment, NGO partnerships, hospital relationship building, care delivery set-up, etc.).
  • Fact Finds and assessment trips to set up and prepare for programs in new sites/regions for future Surgical Programs.

Essential Functions:

  • Day to day patient scheduling and patient management, including managing patient transportation.
  • Support the clinical team.
  • Work with the Regional Director in establishing partnerships and surgical operations in partner Hub and Spoke hospitals in Pakistan.
  • Build relationships with Hub and Spoke partner hospitals, and establish the care delivery process for OS patients.
  • Build the medical team necessary for regular care delivery process in Hub and Spoke partner hospitals.
  • Prepare Monthly and Quarterly Reports for OSP & OSI as requested by the Regional Director.
  • Maintains patients' files for scheduled appointments; files study patient charts; files all patient data upon receipt of information; initiates record for new patients and creates computer index; prepare levels; maintain filing statistics; audits filing sequence.
  • Responds to requests for medical records; processes letters and reports; answers and directs telephone calls.
  • Keeps the Regional Director informed of problems or issues and reports any equipment malfunction in partner hospitals and centers.
  • Reviews medical records for completeness, assembles records into standard order, and files records in designated areas according to applicable alphabetic and numeric filing system.
  • Support with any research project run by Operation Smile in Pakistan.
  • Facilitate special projects as needed not just in Pakistan but also the Asia Region.

Surgical Programs

  • Work with the Regional Director to facilitate recruitment of medical volunteers.
  • Work along with Logistics for procurement, packing, and transportation of all medical supplies necessary for a Surgical Program.
  • Plan execute/lead surgical programs within Pakistan.
  • Work alongside the Regional Director to create a patient recruitment plan and ensure its proper implementation.
  • Oversee a competitive pricing selection of all vendors for Surgical Programs to include local transportation, transit and site hotels, team meals, patient meals, etc.
  • Provide timely and accurate reports on programs to help plan and develop future programs and to provide feedback to our sponsors and volunteers.

Volunteer Management

  • Support the onboarding of medical volunteers onto our credentialing process by procuring their documents and completing follow-ups.
  • Ensure that the Operation Smile People repository is up to date and liaise directly with the Regional Volunteer Management team for Asia.
  • Ensure that all trainees on education pathways have timely evaluation and coordinate with OS Global program teams as necessary.
  • Be the main POC for international volunteers and trainees coming into Pakistan. Support their visa and TML process and local logistics.
  • Organize AHA BLS and PALS training to support the full credentialing process.

Communication and Collaboration

  • Communicate regularly with the Regional Director and the clinical team.
  • Communicate regularly with Hub and Spoke hospital partners for operation planning and care delivery.
  • Communicate regularly with the Operation Smile medical team as well as the various departments of the hospitals.
  • Attend and prioritize all Asia Regional calls and other OSI calls

ELIGIBILITY / QUALIFICATIONS: ·

  • Bachelor’s degree in Social Sciences, Public Health, Development Studies, Sociology, Psychology, International Development, or a related field required. 
  • A postgraduate degree is not required. · Fresh graduates are encouraged to apply. · A minimum of one (1) year of experience in community outreach, field operations, healthcare programs, nonprofit organizations, volunteer coordination, or related areas will be considered an advantage.
  • Demonstrated interest in humanitarian, healthcare, or community development work. · Strong organizational and administrative skills with the ability to manage multiple priorities simultaneously.
  • Excellent interpersonal and communication skills, with the ability to build relationships with hospitals, volunteers, patients, and community partners.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. 
  • Fluency in English and Urdu, both written and verbal.  Ability to work independently as well as collaboratively in a multicultural and fast-paced environment.
