Your opportunity:
Reporting to the Department Manager, the Program Assistant provides general and administrative support for the department's academic programs. Working closely with the TA Coordinator, the Program Assistant is responsible for job postings and payroll for Teaching Assistants. Working collaboratively with academic and administrative contacts, the Assistant responds to general inquiries, assists with events and room bookings, supports the admissions process and other activities for the Graduate Office, and ensures that various web pages and other databases are up-to-date. This is a term opportunity until June 2027.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Updating and maintaining records
  • Collating and organizing materials
  • Creating and updating job postings in the database
  • Preparing draft correspondence using templates
  • Collecting supporting documentation required for payroll and/or HRIS processing
  • Processing payroll
  • Determining logistical details and activities for events and/or programming

Essential Qualifications:

  • College Diploma (2 years) or acceptable combination of equivalent experience.
  • Minimum two (2) years' relevant experience working in an administrative capacity, preferably within a post-secondary institution.
  • Experience processing financial or payroll records.
  • Experience maintaining filing systems and databases.
  • Experience coordinating the logistical details for meetings and events, for example booking spaces, booking and setting up A/V equipment, arranging meeting schedules and arranging catering.
  • High proficiency with Microsoft Office Suite (Excel, Word, PowerPoint and Outlook).
  • Excellent problem solving and customer service skills.
  • Excellent interpersonal and communication skills (verbal and written) with a strong customer focus.
  • Excellent organizational skills.
  • Demonstrated skills in attention to detail and ensuring accuracy of work.
  • Proficiency in writing routine documents and correspondence.
