Job description

The Professional Assistant provides high-level, confidential administrative and clerical support to the Adult Services division, including Residential (IRA) and Day Habilitation programs. This role is central to ensuring smooth day-to-day operations by managing records, coordinating communication, supporting compliance documentation, and serving as a key liaison across internal teams and community partners. The position requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced, mission-driven environment.

Pay Range: $21.24 - $25.67 Hourly; Based on experience and education

RESPONSIBILITIES:
  • Provide confidential administrative and clerical support to Adult Services leadership and program teams
  • Maintain accurate participant records, program documentation, and compliance-related files across Residential and Day Habilitation services
  • Coordinate calendars, meetings, medical appointments, and required program reviews (including ISP and HCBS documentation)
  • Prepare, distribute, and track key documents such as meeting minutes, behavior and injury reports, Plans of Corrective Action, and program forms
  • Support Residential (IRA) and Day Habilitation operations by managing schedules, attendance, participant funds, checklists, and required reporting
  • Serve as a liaison with internal departments, community partners, vendors, and volunteer organizations
  • Assist with recruitment processes, including application tracking, interview coordination, and candidate follow-up
  • Coordinate program events, communications, and materials, including open houses, staff events, and participant activities
  • Provide front desk reception and general office support, including phones, visitor coordination, mail distribution, supply management, and basic troubleshooting
  • Assist with financial and operational processes such as purchase orders, petty cash tracking, and vehicle documentation
  • Support agency-wide initiatives and special projects as assigned

REQUIREMENTS:
  • High School Diploma required; additional administrative or business coursework preferred
  • Minimum of 3 years of related office or administrative experience
  • Proficiency in Microsoft Word and Excel required
  • Strong organizational skills with the ability to manage multiple tasks and deadlines
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with professionalism and discretion
  • Detail-oriented with strong recordkeeping and documentation skills
  • Ability to work independently and collaboratively within a multidisciplinary team
  • Experience in human services, healthcare, or nonprofit settings preferred
