Job description

Job Description:
Public Works is seeking a highly skilled professional with advanced administrative expertise to join the team. The Professional Assistant will assist the Fleet and Street Divisions within the PW team.
Duties include:
  • Coordinate and schedule interviews with applicants and interview panels.
  • Assist with onboarding activities and employment-related documentation.
  • Prepare and process requisitions, purchase orders, change orders, and invoices.
  • Monitor expenditures and ensure expenses are charged to appropriate budget categories.
  • Coordinate with the team regarding budgetary concerns and financial transactions.
  • Review, edit, and process payroll for Street and Fleet Division employees.
  • Respond to inquiries from residents and staff.
  • Provide information and guidance regarding Public Works services and programs.
  • Order supplies and monitor inventory levels.
  • Assist with departmental events, meetings, training sessions, and conference room scheduling.
  • Support Public Works initiatives, including employee engagement activities, leadership events, and departmental programs.
  • Responsible for various monthly, quarterly, bi-annual, and annual reports, including employee attendance sheets, vehicle usage, tool allowance, and sick leave buy-back for union employees.
  • Scheduling meetings and assisting in preparation for meetings.
  • This position will collaborate with the administrative team to update and implement policies and procedures, ensuring a streamlined work environment within Public Works.
  • Cross-training in various administrative functions to enhance operational efficiency.
  • Handle PW KORA requests.
  • Provide administrative support to Fleet Division operations by coordinating customer requests, processing documentation, and ensuring timely follow-up on service needs.
  • Process vehicle registrations.
  • Manage the issuance, replacement, and tracking of fuel fobs.
  • Perform other duties as assigned.

Qualifications:
Associate's degree in a related field and three years of related program experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above. High level of computer software proficiency, data entry/typing at a moderate rate, and experience essential to perform duties listed above. Premium communication skills, organizational and interpersonal skills, and the ability to maintain a professional demeanor in all situations. Ability to demonstrate tact and discretion in preparing, disclosing, and handling information of a confidential and sensitive nature; Proficient in Microsoft Office, Word, Excel, Access, and PowerPoint to accumulate and compile information from reports and records. Must have a valid driver's license. Bilingual a plus.
Salary Range:
$21.86-$28.58/hr.
