Job description

JOB DESCRIPTION:
The Public Works Professional Assistant provides administrative, financial, payroll, customer service, and operational support to the Public Works Department. This position serves as a point of contact for employees, applicants, contractors, and other stakeholders while ensuring the efficient execution of departmental processes. The Professional Assistant coordinates financial transactions, payroll administration, right-of-way permit activities, and departmental initiatives.
Essential Duties and Responsibilities:
  • Coordinate and schedule interviews with applicants and interview panels.
  • Serve as one of the Human Resources liaisons.
  • Process employee certifications, training records, and compensation changes.
  • Enter employee information in Workday and other applicable systems.
  • Assist with onboarding activities and employment-related documentation.
  • Prepare and process requisitions, purchase orders, change orders, and invoices.
  • Monitor expenditures and ensure expenses are charged to appropriate budget categories.
  • Assist with budget tracking, reporting, and analysis.
  • Coordinate with the team regarding budgetary concerns and financial transactions.
  • Identify and communicate potential budget revisions or funding issues.
  • Review, edit, and process payroll for all non-union Public Works employees.
  • Respond to inquiries from residents, contractors, developers, and staff.
  • Assist customers with permit applications, payments, and permitting requirements.
  • Coordinate and schedule right-of-way inspections.
  • Work closely with the Right-of-Way Manager regarding permit approvals, denials, and inspection scheduling.
  • Provide information and guidance regarding Public Works services and programs.
  • Order supplies and monitor inventory levels.
  • Track professional memberships, subscriptions, and renewals.
  • Assist with departmental events, meetings, training sessions, and conference room scheduling.
  • Support Public Works initiatives, including employee engagement activities, leadership events, and departmental programs.
  • Provide administrative support for departmental committees, meetings, and presentations.
  • Other duties as assigned

Qualifications:
Associate degree in field related to area of responsibility and three years of progressively responsible administrative support experience in area of assignment; or any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Knowledge of UG mapping system, Workday, MicroSoft Office (Word, Excel, PowerPoint). Basic accounting principles. Excellent oral and written communication skills. Bilingual a plus.
Salary Range:
$21.86-$28.58/hr.
