Data Entry Specialist
Position Summary
The Data Entry Specialist provides administrative and operational support to ensure the smooth day-to-day functions of the office and construction projects. This role works closely with the project management team, foremen, vendors, and customers to maintain accurate project information, support accounting processes, and provide excellent customer service.
Essential Job Duties & Responsibilities:
Accounts Payable (AP)
- Process vendor invoices accurately and in a timely manner.
- Monitor and manage the Accounts Payable email inbox.
- Match invoices to purchase orders and verify pricing.
- Follow up with vendors regarding billing discrepancies or payment inquiries.
Project & Budget Management
- Enter and update material purchases within project management software.
- Maintain accurate job cost records and material tracking.
- Update project budgets as invoices and purchase orders are received.
- Assist in monitoring project costs and identifying budget variances.
Payroll Support
- Collect and review employee timecards for completeness and accuracy.
- Communicate with field staff regarding missing or incorrect time entries.
- Submit approved timecards for payroll processing.
Insurance Administration
- Assist with insurance certificates (COIs) for customers and subcontractors.
- Coordinate with insurance providers regarding claims or policy requests.
- Maintain insurance documentation and project compliance records.
Estimating Support
- Serve as the initial point of contact for estimate inquiries.
- Schedule estimate appointments for estimators.
- Maintain estimate tracking logs and customer information.
- Follow up with prospective customers as directed.
Field Communication
- Communicate with foremen at the end of each workday regarding:
- Daily job progress
- Material needs for upcoming work
- Project concerns or delays
- Customer issues requiring office follow-up
- Relay critical information to project managers and office staff.
Customer Service
- Provide customers with project updates as directed.
- Answer incoming calls and emails professionally.
- Address customer questions and direct concerns to the appropriate team member.
- Maintain positive customer relationships through timely communication.
Administrative Support
- Maintain accurate electronic and paper project files.
- Assist with data entry and document management.
- Support office staff with general administrative tasks.
- Perform other duties as assigned.
Qualifications
- Strong organizational and time management skills.
- Excellent verbal and written communication.
- Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Ability to prioritize multiple tasks in a fast-paced construction environment.
- Strong attention to detail and accuracy.
- Professional customer service skills.
- Ability to maintain confidentiality of company and employee information.
