Job description

We are looking for a detail-oriented Payroll Administrator to support accurate and compliant payroll operations for a contract assignment near Mahwah, New Jersey. This role is well suited for someone who can manage full-cycle payroll activities, resolve discrepancies efficiently, and work confidently with payroll reporting, audits, and employee inquiries. The ideal candidate will bring strong knowledge of multi-state payroll practices, timekeeping administration, and payroll-related compliance requirements while maintaining a high level of confidentiality.


Responsibilities:

• Oversee end-to-end payroll processing, ensuring employee pay, deductions, supplemental earnings, and paid time off balances are calculated accurately.

• Review time and attendance records, follow up on missing or inconsistent entries, and resolve payroll-related issues before processing deadlines.

• Conduct detailed payroll audits before and after each cycle, including verification of entries completed by other team members.

• Support payroll tax activities by assisting with quarterly filings, tax payments, year-end wage reporting, and related compliance documentation.

• Administer payroll matters such as garnishments, unemployment claims, disability payments, and employment verification requests.

• Prepare and validate records connected to union benefit administration and maintain supporting payroll documentation.

• Compile payroll data and generate reports related to payroll liabilities, workers’ compensation, audit needs, and other payroll accounting requirements.

• Reconcile salary expense, retirement contributions, employee benefits, payroll tax balances, and insurance-related payroll reporting.

• Respond to employee questions regarding pay calculations and payroll policies while partnering with accounting leadership to strengthen procedures and internal controls.

• Recommend process improvements that increase payroll accuracy, efficiency, and compliance, while assisting with additional accounting department duties as needed.

• Experience managing full-cycle payroll processing in a detail-oriented business environment.
• Working knowledge of multi-state payroll practices and payroll compliance requirements.
• Ability to maintain and review employee timesheets and timekeeping records with a high degree of accuracy.
• Familiarity with payroll audits, account reconciliations, and payroll-related reporting.
• Experience supporting payroll tax filings, year-end forms, and other statutory payroll obligations.
• Strong problem-solving skills with the ability to investigate discrepancies and resolve payroll issues independently.
• Clear communication skills for responding to employee payroll questions and collaborating with accounting teams.
• Ability to handle sensitive payroll and employee information with discretion and confidentiality.
