We are currently seeking a Payroll Specialist to join our team in Houston, TX. This role will support domestic payroll operations while ensuring compliance, accuracy, confidentiality, and exceptional internal stakeholder support across the organization.

About the Job

The Payroll Specialist is responsible for processing and reconciling payroll within established deadlines while ensuring compliance with all federal, state, and local regulations. This role partners closely with Payroll, HRIS, Benefits, P&C, Finance, and external vendors to support accurate payroll operations and maintain data integrity.

This is a local position based in Houston, TX, and is not eligible for employer-sponsored work authorization or visa sponsorship now or in the future.

Key Responsibilities
  • Process weekly union and biweekly non-union payroll accurately and within established deadlines
  • Compile, validate, and prepare payroll data for system entry
  • Audit payroll data before and after transmission to ensure accuracy and compliance
  • Interpret, enter, and maintain child support and garnishment orders in accordance with applicable regulations
  • Collect, validate, and process manual timecards and required payroll adjustments
  • Ensure accuracy of employee paychecks, W-2s, payroll tax reporting, and general ledger data
  • Process off-cycle payroll payments in compliance with federal and state requirements
  • Serve as the primary payroll point of contact for assigned business groups
  • Prepare payroll reconciliations and supporting documentation for management review
  • Generate and distribute payroll reports for internal stakeholders
  • Support quarterly and year-end payroll activities, including W-2/W-2c processing, amendments, and audits
  • Partner with payroll vendors to resolve tax discrepancies, notices, and registration issues
  • Research and respond to employee payroll-related inquiries in a timely and professional manner
  • Partner with the Benefits team to research and correct benefit deduction discrepancies
  • Collaborate with HRIS to resolve employee data inconsistencies impacting payroll
  • Partner with P&C and Centers of Excellence (COEs) to maintain payroll data integrity
  • Support internal and external audit requests by gathering and validating required payroll documentation
  • Perform payroll-related G/L research and reconciliation activities as needed
  • Support payroll system enhancements, process improvements, and special projects
  • Maintain a high level of confidentiality and professionalism with sensitive employee information
Qualifications Education & Certifications
  • Associate degree or equivalent combination of education and relevant work experience required
  • Certified Payroll Professional (CPP) designation preferred but not required
Experience
  • Minimum of 5+ years of payroll processing experience
  • Experience processing both union and non-union payroll preferred
  • Experience with multi-state and local payroll tax regulations
  • Experience with ADP Vantage and/or ADP Workforce Now preferred
  • Strong understanding of payroll compliance, garnishments, and tax regulations
  • Advanced Microsoft Excel skills required
