Job description

Title: Accounting & Payroll Associate

FLSA Status: Salary Exempt

General Summary:

As a key member of the Finance and Administration Department team, the Accounting Assistant is responsible for supporting payroll processes and procedures and accounts receivable invoice processing & collections for the Company.  This position reports to the Payroll Manager with a dotted line to the Finance Manager.

Essential Payroll Duties and Responsibilities:

  1. Prepare bi-weekly payroll for hourly and salaried employees.
  2. Process changes in payroll and personnel records in accordance with company policies
  3. Process employee incentives, tolls, mileage & garnishment
  4. Process new employees
  5. Process termination paperwork for employees.
  6. Prepare Bi-weekly reports for personnel and submit them to supervisors.
  7. Prepare Bi-weekly overtime reports for supervisors.
  8. Prepare weekly payroll journal entries and reconcile assigned general ledger accounts.

Essential Accounts Receivable Duties and Responsibilities:

  1. Process customer or supplier invoices for promotions and supplier bill backs.
  2. Process daily cash receipts and prepare and issue weekly AR aging report.
  3. Research and resolve cash settlement or application discrepancies.
  4. Prepare month end journal entries, reconcile, and maintain assigned general ledger accounts. 
  5. Process electronic payments and reconcile between ERP, service provider, and bank.
  6. Prepare credit applications.
  7. Serve as back-up to cash settlement staff members as needed.

Other Duties and Responsibilities:

  1. Perform other duties as assigned by direct supervisor or Department Head.

Job Specifications:

  1. Minimum of 5 years of accounting, payroll, or related experience required
  2. Knowledge of payroll processes and payroll systems
  3. Experience with Paycom is required.
  4. Account Receivable invoicing, month end close and general ledger reconciliation experience
  5. Proficient PC skills including Microsoft 365 (Outlook, Teams & Excel)
  6. Strong interpersonal skills & communication.
  7. Excellent organizational and analytical skills
  8. Ability to maintain confidentiality.
  9. Ability to work under time constraints and meet deadlines
