Job description

Overview
The Facilities Maintenance department currently has an opening for a part-time Office Assistant.
This position will perform a variety of administrative support and/or secretarial duties in direct support of the Staff Assistant in Facilities Maintenance, Venue Operations, and LOAM. This position is distinguished from the Staff Assistant in that incumbents in the Part-Time Office Assistant position work part-time hours (non-benefitted) in direct support of the Staff Assistant and management teams.
Responsibilities
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, calendar management, and other general duties as assigned.
  • Assists with the hiring and onboarding of new employees.
  • Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
  • Composes and word-processes various standard documents, correspondence and reports.
  • Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
  • Prepares agendas, coordinates meetings, and transcribes meeting minutes.
  • Maintains current personnel files.
  • Performs other miscellaneous duties as assigned.

Qualifications
Minimum Qualifications
  • One year experience in a professional environment requiring communication, interaction, and problem solving with customers and team members.
Knowledge, Skills, and Abilities
  • Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, graphic packages, and basic office equipment, including printers, copiers, and telephone systems.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Willingness to learn new skills and methods to continually improve office operations
  • Must display exceptional human relation skills and be able to pleasantly interact with a variety of clientele
  • Knowledge of University policies and procedures.
